Job summary

Zuellig Pharma in Malaysia seeks an Administrative Executive to support the brand team, streamline operations, and enable marketers to focus on strategic planning and brand management. The role involves coordinating events, vendor management, ARIBA processes, and cross-functional collaboration across departments.

You will assist with promotional material delivery, A&P tracking, and operational tasks to drive efficiency and impact within a fast-paced pharmaceutical environment.

Qualifications

• Must have a bachelor degree with relevant experience in pharmaceutical industry or healthcare marketing operations.
• Strong organizational skills and ability to manage multiple priorities.
• Ability to coordinate events, meetings, digital assets, and vendor relationships.

Responsibilities

• Provide administrative support to the brand team to improve operational efficiency.
• Coordinate events, RFQs, RDAs, vendor selection and logistics (hotels, flights, transport, meals).
• Manage ARIBA processes, PR/PO approvals and payment requisitions.
• Oversee ezFlow for key events and maintain filing (e-filing and paper).
• Prepare consultancy, sponsorship and LOUs agreements as needed.
• Distribute approved promotional materials to sales teams.
• Support A&P tracking and timely payment processing with quotations and invoices.
• Coordinate internal meetings, calendars, and room bookings.
