Job summary

OTT CREATION MARKETING – Balakong, Selangor is seeking a Service Coordinator to manage customer service requests, schedule and coordinate technical jobs, and maintain accurate service records. You will liaise with the sales and technical teams to ensure timely responses and smooth operations.

This role requires strong organizational and communication skills, with the ability to manage multiple tasks in a fast-paced environment and coordinate with technicians.

Qualifications

• Experience in a service coordination role, preferably in an industrial or technical setting.
• Strong organizational and communication skills.
• Ability to manage multiple tasks in a fast-paced environment.
• Comfortable dealing with customers and coordinating with technical staff.
• Basic technical understanding (training provided for specific machinery and processes).

Responsibilities

• Manage daily service requests from customers, ensuring prompt and effective response.
• Schedule and coordinate service jobs for the technical team (mechanical and electrical), optimizing the team’s availability.
• Track ongoing and completed service jobs using Excel-based trackers, ensuring all records are updated accurately.
• Assist in preparing spare parts quotations for customers and follow up on deliveries.
• Maintain an overview of critical spare parts in stock and support warranty documentation where needed.
• Act as the primary point of contact for service-related issues and update customers on job progress.
• Prepare service reports, job sheets, and invoices with assistance from the accounts department.
• Maintain accurate service records for internal and customer reference and support related admin tasks.

• Schedule and coordinate service jobs for the technical team (mechanical and electrical), optimizing the team’s availability.
• Track ongoing and completed service jobs using Excel-based trackers, ensuring all records are updated accurately.

2. Spare Parts Coordination:

• Assist in preparing spare parts quotations for customers.
• Follow up on spare parts deliveries and liaise with suppliers when needed
• Maintain an overview of critical spare parts in stock.

3. Customer Communication:

• Act as the primary point of contact for service-related issues, ensuring clear and professional communication.
• Update customers on job progress and ensure all job details (e.g., site visit, repairs, maintenance) are documented clearly.

4. Documentation & Reporting:

• Prepare service reports, job sheets, and invoices (with assistance from the accounts department).
• Maintain accurate service records for internal and customer reference.

5. General Admin & Support:

• Support the sales and technical team with related administrative tasks when needed.
• Assist in processing warranty claims with suppliers and coordinating warranty documentation.

Requirements:

• Experience in a service coordination role, preferably in an industrial or technical setting (doesn’t have to be the same industry).
