Assistant Manager, Order Management & Business Systems

Manage the end-to-end order processing cycle from order receipt to invoicing and delivery completion.

Monitor order status, backlog, fulfilment progress, and customer delivery commitments.

Coordinate with Sales, Warehouse, Logistics, and Finance teams to ensure accurate and timely order fulfilment.

Resolve order discrepancies, delivery issues, customer claims, and operational escalations.

Ensure compliance with company pricing, promotional activities, and customer requirements.

2. Inventory & Stock Allocation

Monitor inventory availability and fulfilment requirements across customers.

Manage stock allocation during inventory shortages to maximize service levels and business priorities.

Track backorders, stock shortages, and replenishment requirements.

Work closely with Supply Chain, Procurement, and Warehouse teams to improve product availability.

Oversee invoice generation, credit notes, and billing documentation.

Ensure timely invoice submission through customer portals and EDI platforms.

Track invoice submission status, payment processing, and rejected invoices.

Coordinate with customers and internal departments to resolve invoice-related issues and payment delays.

4. Business Systems Management -

Serve as the key user and administrator for:

Electronic Data Interchange (EDI)

Document Management System (DMS)

Proof of Delivery (POD) System

ERP Systems

Customer Portals

Lead system enhancements, process automation initiatives, and digital transformation projects.

Ensure master data accuracy, system integration, and user compliance.

5. Delivery & Documentation Control

Monitor Proof of Delivery (POD) collection and completion rates.

Ensure Sales Orders, Purchase Orders, GRNs, RTVs, Delivery Orders, Invoices, PODs, and customer documents are properly maintained and filed.

Support audit requirements through accurate documentation and record management.

6. Reporting & KPI Management

Prepare and analyze operational performance reports and dashboards.

Monitor key performance indicators including : Order Fill Rate (OFR) ,On-Time Delivery (OTD), On-Time In Full (OTIF) ,Order Fulfilment Rate ,Inventory Availability, Backorder Rate , POD Completion Rate , Invoice Submission Accuracy and Customer Service Level Achievement

Conduct root cause analysis and implement corrective actions to improve operational performance.

Lead continuous improvement initiatives to enhance efficiency, productivity, and customer satisfaction.

Lead, coach, and develop the Order Management team.

Monitor team productivity, service standards, and KPI achievement.

Collaborate effectively with cross-functional departments and external stakeholders.

Requirements:

Bachelor's Degree or Diploma in Supply Chain Management, Business Administration, Logistics, Operations Management, or a related field.

Minimum 5 years of experience in Order Processing, Customer Service, Supply Chain, Logistics, or Operations.

At least 2 years of supervisory or team leadership experience.

Hands-on experience with ERP systems, EDI, customer portals, SFA, POD systems, or other business applications.

Strong analytical, problem-solving, and reporting skills.

Proficient in Microsoft Excel and data analysis.

Excellent communication and stakeholder management skills.

Experience in FMCG, Food Service, Manufacturing, Distribution, or Trading industry will be an added advantage.
