We are seeking a proactive, organised, and detail-oriented Administrative Executive / Project Administrator to join our team. The successful candidate will provide administrative and coordination support to the Project Manager and assist in ensuring the smooth and efficient execution of day-to-day project administration.
Key responsibilities
Provide administrative, coordination, and organisational support to the Project Manager.
Prepare, maintain, and organise project documentation, including Bills of Quantities (BQ) and related records.
Maintain and update project budgets, financial records, and documentation.
Prepare, process, and manage Purchase Requisition (PR) and Purchase Order (PO) documentation.
Monitor project expenditure and maintain accurate spending records.
Assist in identifying potential budgetary or financial risks and *escalate* issues when necessary.
Ensure all project documentation is properly maintained and filed for easy reference.
Coordinate administrative matters to support the smooth and efficient day-to-day operation of projects.
Perform other administrative and project-related duties as assigned by the Project Manager.
About you
Minimum Diploma or Degree in Business Administration, Management, Project Management, or a related field.
Good command of English and Bahasa Malaysia, both written and verbal.
Strong administrative, organisational, and coordination skills.
Proactive, responsible, and able to work independently.
Excellent attention to detail with strong document management skills.
Able to manage multiple tasks and meet deadlines in a fast-paced working environment.
Comfortable working under pressure and handling time-sensitive tasks.
Proficient in Microsoft Office applications, particularly Microsoft Excel and Word.
