The Admin Executive is responsible for providing administrative support to the Accounts Department by managing documentation, maintaining filing systems, and ensuring accurate record keeping. The role supports the department's daily operations through efficient document control and administrative coordination.
Handle and maintain filing of accounting and administrative documents in both physical and electronic formats.
Organize, sort, and archive invoices, payment vouchers, receipts, statements, and other financial records.
Prepare, scan, photocopy, print, and distribute documents as required.
Maintain proper document records and ensure all files are accurately labelled and easily retrievable.
Assist in preparing and compiling accounting documents for internal use, auditors, and regulatory submissions.
Perform data entry and update records in the company's accounting or document management system.
Verify that supporting documents are complete before filing or submission.
Liaise with internal departments to obtain required documents and information.
Maintain confidentiality of company financial records and information.
Perform general administrative duties and any other tasks assigned by the Accounts Manager or Management.
Diploma or equivalent qualification in Business Administration, Office Management, Accounting, or a related field.
Minimum 1 year of administrative experience; experience in an Accounts Department is an advantage.
Proficient in Microsoft Office applications, Word and Excel.
Strong organizational and document management skills.
Detail-oriented with good accuracy in handling records and paperwork.
Able to work independently, prioritize tasks, and meet deadlines.
Responsible, trustworthy, and able to maintain confidentiality.
