Treatwater & Engineering Sdn Bhd in Malaysia is seeking an Admin Executive to support day-to-day operations across the office and project teams. You will manage documents, coordinate purchases, handle correspondence, and help with HR and accounting paperwork as needed.
The role offers the opportunity to work closely with suppliers, customers, and internal departments, ensuring accurate records, timely reporting, and smooth office functioning.
We are looking for a responsible, organized, and detail-oriented Admin Executive to support the day-to-day administrative operations of the company. The successful candidate will be responsible for maintaining proper documentation, coordinating office activities, supporting management and project teams, and assisting with general administrative and operational tasks.
Handle daily administrative and clerical tasks to ensure smooth office operations.
Prepare, organize, and maintain company documents, records, files, and correspondence.
Assist in preparing letters, reports, quotations, purchase orders, invoices, and other documents when required.
Handle incoming and outgoing emails, calls, correspondence, and enquiries.
Coordinate with customers, suppliers, contractors, and internal departments.
Assist with purchasing activities, including obtaining quotations, preparing purchase orders, and following up on deliveries.
Maintain proper records of suppliers, customers, office documents, and project-related documentation.
Assist with scheduling meetings, preparing meeting documents, and recording meeting minutes when required.
Assist management and project teams with administrative and documentation requirements.
Monitor office supplies and arrange purchases when necessary.
Assist with staff administration, including attendance records, leave records, onboarding documents, and other HR-related administrative matters.
Assist the Accounts Department with basic administrative and accounting documentation when required.
Handle filing and ensure documents are properly organized and easily accessible.
Assist with company registrations, licences, renewals, and other administrative matters.
Coordinate courier, delivery, and shipment arrangements when required.
Perform other administrative duties and ad-hoc tasks assigned by management.
Diploma or Bachelor's Degree in Business Administration, Management, Accounting, or a related field.
Previous experience in administration is an advantage.
Fresh graduates are encouraged to apply.
Proficient in Microsoft Office, particularly Word and Excel.
Good organizational and time-management skills.
Good written and verbal communication skills.
Responsible, detail-oriented, and able to maintain confidentiality.
Able to work independently and as part of a team.
Able to multitask and prioritize work effectively.
Willing to learn and take on new responsibilities.
Possess a valid driving licence is an advantage.
