Established in 2016, Invatex Consulting Sdn Bhd is a Petaling Jaya-based firm specialising in taxation and outsourcing services, providing tax compliance and advisory, transfer pricing, tax audit and investigation, e-invoicing, indirect tax, tax incentives, and accounting services to companies and individuals across various industries. As our practice grows, we are looking for an experienced, detail-oriented Accounts-cum-Admin Executive to support our finance, office administration and HR functions.
Job Summary
The Accounts-cum-Admin Executive will manage the firm's day-to-day bookkeeping and accounting, general office administration and core HR functions such as payroll, staff records and recruitment coordination. This is a hands-on, multi-disciplinary role suited to a mature, organised individual who thrives in a small-firm environment and is comfortable owning finance, admin and people-related processes end to end.
Key Responsibilities
Accounting & Finance
- Manage full sets of accounts, including accounts payable, accounts receivable and general ledger entries.
- Prepare and issue invoices, receipts and statements of account for clients.
- Process staff claims, petty cash and vendor payments in a timely and accurate manner.
- Perform monthly bank reconciliations and assist in month-end and year-end closing.
- Prepare monthly management reports, cash flow summaries and basic financial statements.
- Liaise with auditors, tax agents and bankers as required.
- Ensure compliance with statutory requirements, including SST/e-invoicing records where applicable.
Administration
- Oversee general office administration, including procurement of office supplies and equipment.
- Manage vendor contracts, utilities and office facilities/maintenance matters.
- Maintain proper filing systems (physical and digital) for company and client records.
- Support company secretarial matters and liaise with the company secretary as needed.
- Coordinate courier, travel arrangements and logistics for the office and management.
- Assist in organising internal meetings, client appointments, and firm events.
Human Resources
- Process monthly payroll, EPF, SOCSO, EIS, PCB and other statutory contributions.
- Maintain employee personnel files, leave records and attendance records.
- Coordinate the recruitment process, including posting job advertisements, screening candidates and scheduling interviews.
- Prepare employment letters, contracts, confirmation letters and other HR correspondence.
- Administer staff onboarding and offboarding processes.
- Support performance appraisal administration and staff training coordination.
- Ensure HR practices comply with the Employment Act and other relevant Malaysian labour regulations.
Requirements
- Diploma or Degree in Accounting, Finance, Business Administration, Human Resources, or a related field.
- Minimum 5 years of relevant working experience in accounts, admin and/or HR, ideally within a professional services or accounting/tax firm.
- Working knowledge of Malaysian payroll statutory requirements (EPF, SOCSO, EIS, PCB) and basic labour law.
- Proficient in accounting software and Microsoft Office (Excel, Word, Outlook).
- Strong organisational skills with the ability to multi-task and manage competing priorities independently.
- High level of integrity, discretion, and attention to detail when handling confidential financial and HR information.
- Good command of English and Bahasa Malaysia, both written and spoken.
- A team player with good interpersonal and communication skills.
