Job summary

The Big Job Site is seeking a Sales Operations Coordinator (ClickUp & Claude) to drive the client development pipeline, coordinate calendars across time zones, and oversee administrative tech operations from a remote setting. You will manage leads, communications, and SOP evolution while leveraging AI tools to streamline tasks.

This role focuses on pipeline reporting, client deliverables, and efficient operations, with a flexible schedule and immediate hiring in a remote capacity.

Qualifications

• Excellent written and verbal English communication fluency.
• Proven experience managing CRMs, sales pipelines, and follow-up campaigns.
• Hands-on calendar management across multiple time zones.
• Proficiency with ClickUp for pipeline tracking, task management, and reporting.
• Proficiency with Claude and Claude Code for workflow leverage and content assistance.
• Exceptional proofreading and editing skills.

Responsibilities

• Capture and intake all leads into ClickUp/CRM within 2 business days with source and contact context.
• Own the Principal's calendar and manage scheduling across time zones with zero double-bookings.
• Prepare, edit, and send client-facing materials within 1 business day and log items.
• Proofread outgoing communications to eliminate errors before delivery.
• Set up, configure, and maintain technical accounts and secure platforms.
• Save and organize sales documents and refine SOPs as processes change.
• Schedule and post approved social media content daily across company channels.
• Leverage Claude AI to automate administrative tasks and optimize workflows.
• Track event RSVPs and send confirmations/reminders within specified windows.
• File executed contracts and maintain contract payment schedules for accounting.
• Produce weekly pipeline summaries and monthly reporting packs.
