Job summary

Passport seeks a detail-oriented Freight Operations Specialist to manage end-to-end freight for Passport Global clients. You will coordinate shipments from supplier pickup through customs clearance and final warehouse delivery, overseeing documentation, tracking, expense reporting, and partner communication.

You will handle international air, ocean, and ground shipments, request quotes, and book shipments while ensuring accuracy of packing lists, invoices, and HS codes.

Qualifications

• Experience managing international freight end-to-end.
• Knowledge of Incoterms, shipping documentation, and customs clearance processes.
• Hands-on experience with TMS and WMS platforms.
• Detail-oriented with strong organizational and communication skills.
• Degree in Logistics or related field; equivalent experience considered.

Responsibilities

• Manage international air, ocean, and ground shipments from origin through customs clearance, delivery, and warehouse receipt.
• Request quotes, compare, route by cost/time, and book shipments.
• Coordinate cargo-ready dates, pickups, labels, and delivery appointments with manufacturers, carriers, and warehouses.
• Prepare packing lists and commercial invoices; verify consignee details, addresses, Incoterms, HS codes, and country-of-origin information; coordinate customs clearance and review entry summaries.
• Track shipments, keep client-facing trackers current, communicate status and delays, and resolve shipment exceptions.
• Use TMS and WMS platforms to manage bookings, shipment milestones, and warehouse receiving; maintain accurate shipment records.
• Prepare monthly client expense reports covering warehouse costs, inbound and outbound freight, and products sourced by Passport Global.
• Audit 3PL and freight charges, resolve billing discrepancies, coordinate credits, and identify service or cost improvements.
