Job summary

Passport Global seeks an organized Freight Operations Specialist to manage international shipments end to end, from supplier pickup to warehouse receipt, across air, ocean, and ground. This role also handles cost reporting and invoice audits.

Based in Mexico, you will quote, book, and track shipments, ensure proper documentation (Incoterms, HS codes), and coordinate with manufacturers, forwarders, and warehouses to close open items on time.

Qualifications

• Experience managing international freight shipments end to end across multiple modes (air, ocean, ground).
• Strong knowledge of freight operations, Incoterms, shipping documentation, and customs clearance processes.
• Hands-on experience with TMS and WMS platforms.
• Strong Microsoft Excel and Google Sheets skills.
• Excellent attention to detail and organization; able to manage multiple shipments and deadlines.
• Clear communicator coordinating with clients, manufacturers, forwarders, brokers, and warehouses.
• Full professional English (written and spoken); native or fluent Spanish.
• Based in Mexico; willingness to travel for in-person team gatherings.

Responsibilities

• Manage international air, ocean, and ground shipments from supplier pickup through customs clearance, delivery, and warehouse receipt.
• Request and compare freight quotes, recommend routing based on cost and transit time, and book approved shipments.
• Coordinate cargo-ready dates, pickups, label approvals, and delivery with manufacturers, carriers, and warehouses.
• Prepare and review packing lists and commercial invoices; verify documents and HS codes.
• Coordinate customs clearance and review entry summaries.
• Track shipments, update client trackers, communicate status and delays, and resolve exceptions.
• Manage bookings, shipment milestones, and warehouse receiving in TMS and WMS; keep records accurate.
• Prepare monthly client expense reports covering warehouse costs and freight, and audit charges for credits.
• Identify service and cost improvements across shipments and partners.
