Job summary

Volkswagen Financial Services | Italy is seeking an HR Operations Coordinator to support HR outsourcing and back-office activities. You will coordinate external providers, ensure accurate documentation and timely data processing to support HR Business Partners, the HRIS Specialist and recruitment functions.

You will manage supplier relationships, assist in RFPs, monitor KPIs/SLAs, ensure GDPR compliance, assist in budgeting, and contribute to governance improvements while safeguarding HR

Qualifications

• Knowledge of HR processes and outsourcing models.
• Experience in outsourcing management and governance.
• Understanding of procurement processes and contract management.
• Knowledge of GDPR and related data protection regulations.
• Strong organizational and coordination skills.
• Analytical mindset with KPI monitoring.
• Proficiency in Microsoft Office tools (Excel, PowerPoint).
• Fluent English (written and spoken).

Responsibilities

• Coordinate HR outsourcing processes in alignment with policies and guidelines.
• Manage relationships with external HR service providers (payroll, training, recruitment).
• Support supplier selection, including RFPs and evaluations.
• Activate new HR services with documentation, approvals and compliance checks.
• Monitor vendor performance through KPIs, SLAs and reviews.
• Collaborate with Procurement and Legal for contracts and renewals.
• Ensure compliance with outsourcing and data protection regulations.
• Support cost control and budget monitoring of outsourced HR services.
• Drive continuous improvement of vendor governance processes and tools.
• Act as point of contact for HR stakeholders on vendor topics.
• Provide admin and back-office support to HR Business Partners.
• Support HRIS data entry, reports, and user coordination.
• Support recruitment back-office activities and onboarding administration.
• Ensure confidentiality and traceability of HR records.
