Job summary

Gokula Education Foundation in Bengaluru seeks a Hospital Stores Assistant to manage physical stock, conduct monthly stock checks, and generate purchase requisitions for the main store.

You will ensure FIFO/FEFO material issuing, handle GRN and PO paperwork, maintain records, and assist in day-to-day operations across main and sub-stores.

Experience in inventory control and ERP/GRN processes preferred; join a team focused on compliance and efficient hospital supply management.

Responsibilities

• Physical Stock check every month and identify items to be purchased and indented.
• Generate Purchase & Material Requisition for Regular & departmental items to the Main Store.
• Maintain 7-day EOQ at stores for material receipt from Main Stores.
• Receive and check materials as per Inter Store Transfer.
• Inform Main Store of discrepancies within fixed time frame.
• Store and arrange material per storing conditions.
• Generate Goods Receipt Note for consignments.
• Issue material to users using FIFO & FEFO methods.
• Maintain records and registers; day-to-day filing and record-keeping.
• Perform regular consumptions checks for general items after stock check.
• Bill materials at Sub Stores Level.
• Hand over GRN details to Purchase Department daily; hand over invoices to Accounts.
• Periodic stock checks to maintain minimum stock level; inform HOD about slow/non-moving items and near expiry.
• Assist in day-to-day operations of main stores and sub-stores and all departments; participate in process improvements.

Job roles and responsibilities:

• Physical Stock check every month so as to list out the items to be purchased and indented (Inventory & Medical Main Store) according to Re-Order Level.
• Generating Purchase & Material Requisition for Regular & departmental specific Items to the Main Store to keep sufficient quantity.
• 7day EOQ maintained at stores according to which the material is received from Main Stores.
• Receiving and Checking the Material as per Inter Store Transfer.
• Discrepancies found while receiving goods to be informed to Main Store within the fixed time frame.
• Storing and arranging the material as per storing conditions.
• Generating Goods Receipt Note for Consignment items.
• Issuing of material to users as per FIFO & FEFO method.
• Maintaining of various records and registers.
• Day to day filing and record-keeping.
• Consumptions to be done regularly for general items after physical stock check.
• Billing of materials at Sub Stores Level.
• Handing over GRN is to Purchase Department with all details pertaining to material and patient, on daily basis.
• Handing over Invoices to Accounts Department with all details pertaining to GRN and PO, on daily basis.
• Periodic stock check so as to maintain minimum stock level at all times.
• Expiry to be checked for all items and information regarding near expiry items to be informed to the HOD.
• To give Information to HOD regarding slow moving, non-moving, near expiry etc. for further process.
• Assist in all the day-to-day operations of both the main stores and sub-stores and all departments in the hospital.
• You will actively participate in continuous process improvement initiatives aimed at adding value to both the department and the organization
