Job summary

Unicon Pharma in Hyderabad, India, seeks a Sr. Onboarding Specialist (US) to own the full onboarding lifecycle from offer to the first 30 days.

You will coordinate with Recruitment, Payroll, IT, Consultant Care, and MIS to ensure accurate, compliant onboarding for US hires. Responsibilities include collecting I-9 and tax forms, completing I-9 and E-Verify, starting background checks and drug screens, and communicating status to stakeholders.

Qualifications

• Bachelor's degree in HR, Admin, Commerce, or Management.
• 3–5 years in HR operations or onboarding with US experience.
• Solid knowledge of US federal/state employment laws, I-9, and E-Verify.
• Experience with HRIS, payroll, benefits, and e-signature portals.
• Strong Excel skills and clear communication; handling confidential information.
• HR certification (SHRM-CP or PHR) is a plus.
• Willingness to work night shift (6:30 PM–4:00 AM IST).

Responsibilities

• Welcome new hires and manage onboarding from offer to 30 days.
• Collect new-hire paperwork: I-9, tax forms, direct deposit, offer docs.
• Complete I-9 and E-Verify for US hires.
• Start background checks and drug screens per client requirements.
• Keep recruiters and delivery managers updated on onboarding status.
• Ensure compliance with federal and state laws.
• Collaborate with Recruitment, Payroll, IT, Sales, and MIS teams.
• Explain benefits and assist with enrollment in insurance and 401(k).
• Handle exits: final pay, paperwork, equipment return, benefits termination.
• Respond to US employee HR queries; escalate when needed.
• Maintain onboarding tracker, ATS, HRIS, and Excel records.
• Keep personnel files audit-ready and support audits.

ROLES & RESPONSIBILITIES

• Keep recruiters and delivery managers updated on the onboarding status of each worker.
• Follow federal and state laws and keep every onboarding compliant.
• Work with Recruitment, Payroll, Sales, IT, Consultant Care, and MIS teams.
• Explain company benefits and help candidates enroll in insurance and the 401(k) plan.
• Handle exits: exit paperwork, final pay details to payroll, equipment return, and benefits termination.
• Answer HR queries from US employees and consultants; escalated issues to the HR Manager.
• Keep the onboarding tracker, ATS, HRIS, and Excel sheets up to date.
• Keep personnel files audit-ready, issue HR letters, support audits, and run quarterly data checks.
• Take up other related duties when required.

REQUIREMENTS

• Bachelor's degree (HR, Business Administration, Commerce, or Management preferred)
• 3-5 years in HR operations or onboarding, with US HR experience
• Good knowledge of US federal and state employment laws, I-9, and E-Verify
• Experience with HRIS, payroll, benefits, and e-signature portals
• Good Excel skills and clear communication; careful with confidential information
• HR certification (SHRM-CP or PHR) is a plus
• Must be willing to work night shift (6:30 PM IST to 4:00 AM IST)
