Job summary

Ivtex Corporate Solutions invites a seasoned KRA Tender Head to lead end-to-end tendering and bid management across Government, PSU, state/central government and corporate opportunities in India.

You will drive opportunity identification via GeM, CPPP/eProcure and state tender portals, oversee technical and commercial bids, coordinate with cross-functional teams, ensure compliance, and manage documentation from pre-bid to award.

Responsibilities

• Lead end-to-end tendering and bid management across Govt, PSU, and corporate opportunities.
• Identify opportunities through GeM, CPPP/eProcure, and state e-tender portals.
• Analyze RFP/RFQ/EOI/NIT documents and prepare compliance checklists.
• Own technical, financial/commercial, and PQ bid documentation and submission.
• Review eligibility, scope, specs, terms, payment, SLA, penalties.
• Coordinate with technical, sales, finance, legal, HR, OEMs for bid inputs.
• Handle EMD, tender fees, bank guarantees and bid security.
• Manage GeM bidding, BOQ bids, reverse auctions and related activities.
• Coordinate with OEMs/partners/vendors for docs and certifications.
• Prepare tender documentation: credentials, work orders, certificates, declarations.
• Attend pre-bid meetings and track amendments to incorporate changes.
• Ensure 100% compliance with tender requirements and timelines.
• Lead commercial evaluation and bid strategy with management.
• Maintain Tender/MIS Tracker and monitor bid pipeline and win rates.

KRA Tender Head

Key Responsibilities:

• Lead the complete end-to-end tendering and bid management process for Government, PSU, State/Central Government and corporate opportunities.
• Identify and evaluate relevant opportunities through GeM, CPPP/eProcure, State e-Tender portals and other procurement platforms.
• Analyze RFP/RFQ/EOI/NIT/tender documents and prepare detailed eligibility, technical, commercial and compliance checklists.
• Take ownership of Technical Bid, Financial/Commercial Bid and Pre-Qualification (PQ) documentation and ensure accurate, timely submission.
• Review eligibility criteria, scope of work, technical specifications, contractual conditions, payment terms, SLA, penalties and other critical tender requirements.
• Coordinate with Technical, Sales/BD, Finance, Legal, HR, OEMs and Management for bid inputs, approvals and documentation.
• Handle EMD, Tender Fee, Bank Guarantee/PBG, bid security, performance security and exemption documentation, wherever applicable.
• Manage GeM bidding, custom bids, BOQ bids, reverse auctions and related tender activities.
• Coordinate with OEMs/partners/vendors for authorization letters, MAF, technical specifications, certifications, quotations and supporting documents.
• Prepare and maintain tender documentation including company credentials, experience certificates, work orders, completion certificates, financial documents, declarations, undertakings and statutory compliance documents.
• Attend/coordinate pre-bid meetings, prepare clarification queries, track corrigenda/amendments and ensure all changes are incorporated before submission.
• Ensure 100% compliance with tender requirements, submission timelines and documentation standards to minimize technical disqualification.
• Lead commercial evaluation, costing coordination and bid strategy in consultation with management and relevant departments.
• Track submitted bids through technical evaluation, financial opening, negotiation, LOA/LOI/PO/contract award and post-award documentation.
• Maintain a centralized Tender/MIS Tracker covering opportunity value, submission date, EMD/BG, bid status, results, win/loss analysis and upcoming deadlines.
• Monitor tender pipeline, bid conversion/win ratio and competitor activity and provide periodic reports to management.
• Guide and supervise the Tender/Bid/Pre-Sales team, allocate responsibilities and ensure timely completion of submissions.
• Maintain confidentiality, accuracy and proper record keeping of all tender and commercial documents.
