Job Summary
We are looking for an experienced Tender Executive / Tender Engineer with 5-10 years of relevant experience in handling Government Tenders, GeM, e-Procurement Portals, Tender Documentation, Vendor Registration, Techno-Commercial Compliance, and Reverse Auctions.
The candidate will be responsible for end-to-end tender activities, from identifying and evaluating prospective tenders to submission, post-bid clarifications, tender monitoring, and documentation related to purchase orders.
Key Responsibilities
- Search and identify prospective tenders through various Government and e-Procurement portals, including:
- GeM
- ISRO
- IREPS
- DRDO
- BARC
- e-Procurement portals
- Railways
- BHEL
- BEL
- HAL
- SAIL
- Other relevant government tender portals.
- Review tender requirements and, after receiving internal approval, prepare and compile complete tender documents as per the technical specifications and commercial terms of the tendering authority.
- Register the company on various Government / e-Procurement portals and ensure registrations are completed within the required timelines.
- Coordinate with tender issuing authorities/executives regarding:
- Tender-related queries
- Registration issues
- Vendor registration
- Clarifications
- Urgent approvals.
- Prepare and submit required documents/clarifications after submission of tenders and during the Techno-Commercial Bid evaluation stage.
- Coordinate with the Technical, Commercial, and other internal departments to obtain required documents, drawings, technical details, certificates, and clarifications.
- Monitor all relevant tender portals on a daily basis and track the status and activities of participated tenders.
- Register and participate in Reverse Auctions (RA) wherever applicable.
- Maintain complete records of:
- Tenders searched
- Tenders shortlisted
- Tenders participated
- Tender status
- Technical/Commercial clarifications
- Results and outcomes.
- Prepare regular tender status reports and MIS for management review.
- After receipt of a Purchase Order, prepare necessary cover letters and supporting documentation for material supply, including technical documents, drawings, manuals, and other documents duly verified/signed by the concerned department head.
- Ensure timely completion of all activities related to the end-to-end tendering process.

Preferred Candidate Profile
- 5-10 years of relevant experience in tendering, preferably with experience in Government / PSU / EPC / Engineering / Manufacturing organizations.
- Hands-on experience with GeM and multiple government e-tender portals will be preferred.
- Good understanding of tender terms, technical specifications, commercial conditions, and compliance requirements.
- Strong coordination, communication, documentation, and follow-up skills.
- Ability to manage multiple tenders and deadlines simultaneously.
