Jay Cable Industries in Ahmedabad, Gujarat seeks a Tender and Bid Coordinator to drive daily tender searches on GeM and e-procurement portals, assess eligibility, and prepare comprehensive technical and price bids. You will coordinate with Sales, Accounts and Production to ensure compliant submissions.

The role requires 1–2 years in tender or documentation, with good English/Hindi, MS Excel/Word, and basic knowledge of EMD, BG, and LD terms.

Role & responsibilities

• Search daily for new tenders on GeM, e-procurement portals, DISCOM, PWD, railway, PSU and private company websites.
• Check each tender for eligibility, product specification, quantity, delivery time, EMD and payment terms; report to the manager whether to bid.
• Prepare technical bid documents: company profile, registrations, past orders, test reports, BIS / product certificates and drawings.
• Prepare the price bid with the Sales Head, Accounts and Production (rates, costing, taxes, freight).
• Arrange EMD, bank guarantee, performance guarantee and affidavits with Accounts and the bank.
• Submit bids online or offline before the last date; keep proof of submission.
• Attend pre-bid meetings, reply to queries and follow up with the buyer until the result.
• Keep a tender tracker: tender date, value, status, EMD, win / loss and reason.
• After the order: collect the work order, share it with Production and Dispatch, and prepare inspection, delivery and billing documents.
• Keep vendor registration, certificates and renewals up to date (for example GeM profile, MSME, GST, BIS licence).

Preferred candidate profile

• Graduate (commerce, engineering or any stream); electrical diploma / degree is a plus.
• 1 to 2 years in tender, bidding or documentation work, preferably in cables, wires or electrical products.
• Working knowledge of GeM and e-procurement portals, and basics of tender terms (EMD, BG, LD, price bid).
• Very good attention to detail and strong sense of deadlines.
• Good written English / Hindi; good Excel, Word, PDF and scanning skills.
• Basic knowledge of cable products, specifications and testing.
