Job summary

Masters Union is seeking an experienced Event & Operations Lead to plan, execute and oversee events across formats and locations, ensuring seamless delivery of high-quality experiences. You will manage end-to-end logistics, vendor relations, travel coordination, registrations, and on-ground execution with a focus on safety, quality, and cost efficiency.

The ideal candidate will have 8+ years in event management, strong stakeholder management, budgeting controls, and a proven track record

Qualifications

  • Bachelor's degree in Event Management, Hospitality, Business Administration, Marketing, or related field.
  • 8+ years of experience in event management, operations, logistics, or similar role.
  • Proven experience managing large-scale events and complex operational requirements.
  • Strong vendor management and negotiation skills.
  • Hands-on travel logistics, accommodation planning, transportation management, and attendee coordination.
  • Ability to lead on-ground event operations under tight timelines.
  • Excellent stakeholder management and communication skills.
  • Proficiency in budgeting, planning tools, and operational reporting.
  • Experience managing international events, conferences, roadshows, or global stakeholder engagements.
  • Exposure to international travel coordination and cross-border event logistics.

Responsibilities

  • Lead end-to-end planning and execution of corporate, experiential, marketing, and large-scale events.
  • Develop event timelines, operational plans, budgets, and contingency strategies.
  • Coordinate with internal stakeholders to understand event objectives and ensure flawless delivery.
  • Oversee venue selection, setup, production, registrations, guest management, and event closeout activities.
  • Identify, onboard, negotiate, and manage relationships with event agencies, production vendors, travel partners, hospitality providers, and other service vendors.
  • Ensure timely delivery of services while maintaining quality and cost efficiency.
  • Monitor vendor performance and compliance with contractual obligations.
  • Manage all event-related logistics including transportation, accommodation, venue operations, inventory, equipment movement, and attendee experience.
  • Coordinate domestic and international travel arrangements for speakers, guests, leadership teams, and event participants.
  • Lead on-site event operations and act as the primary point of contact during event execution.
  • Manage event staff, volunteers, vendors, and operational teams.
  • Handle real-time issue resolution and ensure adherence to safety, quality, and service standards.
  • Conduct post-event reviews and implement process improvements.
  • Track event budgets, approvals, vendor payments, and expense reconciliations.
  • Drive operational excellence through standardized processes, checklists, and reporting mechanisms.
  • Analyze event outcomes and provide actionable insights for future improvements.

Specifically, this role will involve
