Job summary

Dgaj Consultancy Services in Mumbai is seeking an experienced Executive Assistant to provide end-to-end support to the Director, manage calendar, travel, and communications.

You will coordinate with internal teams, clients, vendors and government authorities, track deadlines, assist in marketing coordination and prepare reports.

The role requires strong MS Office skills, excellent communication, high organization, and the ability to work independently with minimal supervision.

Qualifications

  • 26 years of experience as an Executive Assistant, Business Coordinator, Project Coordinator, Operations Executive or similar role.
  • Excellent communication and interpersonal skills with the confidence to interact with senior management, clients and external stakeholders.
  • Strong knowledge of MS Excel, Word, PowerPoint and Google Workspace.
  • Experience in coordinating marketing activities, vendor management or business development support will be an advantage.
  • Good understanding of business documentation, statutory compliance tracking and office administration.
  • Highly organized with exceptional planning, multitasking and follow-up skills.
  • Ability to prioritize tasks, meet deadlines and work independently with minimal supervision.
  • Strong analytical and problem-solving abilities with keen attention to detail.
  • Professional, proactive, discreet and capable of handling confidential information.

Responsibilities

  • Provide end-to-end executive support to the Director in business, administrative and operational activities.
  • Manage the Director's calendar, meetings, appointments, travel plans and daily schedule.
  • Coordinate with internal teams, clients, vendors, consultants and government authorities on behalf of the Director.
  • Track key business deadlines, statutory filings, licence renewals and compliance requirements, ensuring timely completion.
  • Assist in preparing marketing plans and coordinate the execution of digital and offline marketing activities.
  • Coordinate with marketing agencies, designers and vendors for promotional campaigns and branding initiatives.
  • Conduct basic market research, competitor analysis and prepare business reports and presentations.
  • Prepare, review and maintain business documents, contracts, proposals, presentations and correspondence.
  • Monitor ongoing projects and ensure timely follow-up with concerned teams until completion.
  • Maintain records of important business documents, agreements and confidential information.
  • Coordinate with the accounts, HR and operations teams for administrative and reporting requirements.
  • Assist in preparing MIS reports, dashboards and business performance summaries.
  • Organize meetings, prepare agendas, record minutes and monitor action items.
  • Handle professional email communication and draft letters, notices and official correspondence.
  • Support new business initiatives by coordinating meetings, documentation and follow-ups with prospective clients and partners.
  • Perform any other business, administrative or strategic responsibilities assigned by the Director.

Preferred candidate profile

  • Graduate in Business Administration, Commerce, Marketing or a related discipline (MBA preferred but not mandatory).
