You will prepare reports on OPD footfall, revenue and KPIs, and lead team development to uphold service standards.

Responsibilities

  • Manage day-to-day OPD operations and ensure smooth functioning of OPD areas.
  • Monitor patient flow from registration to consultation, investigations, pharmacy, billing and discharge/referral.
  • Ensure adequate availability of counters, consultation rooms, support staff and other resources.
  • Identify operational bottlenecks and take corrective action.
  • Ensure OPD readiness before commencement of daily operations.
  • Coordinate with consultants and clinical departments for smooth OPD operations.
  • Monitor doctor schedules, clinic timings and consultation availability.
  • Coordinate changes in doctor schedules and communicate them to concerned teams.
  • Monitor daily OPD volumes, consultation revenue and department-wise performance.
  • Prepare and review periodic reports covering OPD footfall, doctor-wise patient volume, waiting time, appointment utilization, revenue and manpower deployment.
  • Conduct daily/weekly team huddles and coach employees on patient handling, communication and service standards.

OPD Operations Management
  • Manage day-to-day OPD operations and ensure smooth functioning of all OPD areas.
  • Monitor patient flow from registration to consultation, investigations, pharmacy, billing and discharge/referral.
  • Ensure adequate availability of counters, consultation rooms, support staff and other resources.
  • Identify operational bottlenecks and take corrective action.
  • Ensure OPD readiness before commencement of daily operations.
Patient Experience
  • Ensure timely and courteous service to patients and attendants.
  • Monitor waiting time, queue management and patient movement.
  • Handle escalated patient/attendant concerns and coordinate timely resolution.
  • Monitor patient feedback and implement improvement measures.
  • Ensure proper communication regarding doctor availability, delays, appointments and services.
Manpower Management
  • Plan and deploy OPD manpower based on patient volume and operational requirements.
  • Prepare duty rosters and ensure adequate staffing during peak hours.
  • Monitor attendance, punctuality, grooming and discipline of OPD staff.
  • Identify manpower gaps and coordinate with HR for recruitment/replacement.
  • Conduct regular team briefings and performance reviews.
Doctor & Department Coordination
  • Coordinate with consultants, visiting doctors and clinical departments for smooth OPD operations.
  • Monitor doctor schedules, clinic timings and consultation availability.
  • Coordinate changes in doctor schedules and communicate them to concerned teams.
  • Ensure appropriate coordination between OPD, Nursing, Billing, Pharmacy, Diagnostics, Front Office, Insurance and other departments.
Revenue & Business Support
  • Monitor daily OPD volumes, consultation revenue and department-wise performance.
  • Track conversion opportunities for investigations, procedures and admissions.
  • Identify revenue leakage and ensure proper billing practices.
  • Monitor cancellations, no-shows and appointment utilization.
  • Support hospital initiatives for increasing OPD footfall and service utilization.
MIS & Reporting

Prepare and review periodic reports covering:

  • OPD footfall
  • Doctor-wise patient volume
  • New vs. repeat patients
  • Waiting time
  • Appointment utilization
  • Patient complaints
  • Revenue and service utilization
  • Manpower deployment
  • Operational issues and corrective actions
Team Development
  • Conduct daily/weekly team huddles.
  • Identify training requirements and coordinate with HR/Training team.
  • Coach employees on patient handling, communication and service standards.
  • Set performance expectations and monitor KPIs.
  • Promote teamwork, discipline and accountability.
