Job summary

HealthMap Diagnostics Pvt Ltd is seeking an experienced Logistics Manager to lead end-to-end transportation of patient samples, medical supplies, and equipment across labs, collection centres, and hospitals. You will ensure sample integrity, timely Turnaround times, regulatory compliance, and cost efficiency.

You will supervise logistics executives, coordinate routes, and drive process improvements, safety, and documentation in a fast-paced diagnostic network.

Qualifications

• Experience in healthcare logistics and NABL/compliance familiarity.
• Ability to plan routes, optimize costs and ensure timely sample transport.
• Strong documentation, temperature control, and SOP adherence.

Responsibilities

• Manage daily transportation of diagnostic samples from collection centres, hospitals, and satellites to processing laboratories.
• Ensure timely pickups and deliveries within defined turnaround times (TAT).
• Plan and optimize logistics routes to reduce costs and improve efficiency.
• Coordinate with phlebotomists, collection centre teams, lab in-charges and regional operations teams.
• Ensure proper sample packaging, labelling, temperature control, and adherence to SOPs.
• Monitor delays, missed or compromised samples and implement corrective actions.
• Maintain documentation for sample transport, temperature monitoring, vehicle movement, and transfers.
• Support NABL assessments and internal quality audits with logistics records.
• Report transportation incidents, sample leakage, temperature excursions, and other quality deviations promptly.
• Supervise logistics executives, runners, and outsourced personnel.
• Prepare staff rosters, allocate routes, monitor attendance, and ensure adequate manpower.
• Train team on sample handling, safety, documentation, and service standards.
• Monitor productivity and address performance gaps.
• Prepare daily, weekly, and monthly logistics performance reports.
• Monitor logistics cost per sample, cost per route, fuel expenses, vendor costs, and delivery performance.
• Maintain records of sample pickups, delivery delays, route deviations, and transport utilization.
• Identify opportunities to reduce costs without compromising sample quality or turnaround time.
• Present performance reviews and improvement plans to management.

Key Responsibilities

A. Sample Transportation and Logistics

• Manage the daily transportation of diagnostic samples from collection centres, hospitals, and satellite laboratories to designated processing laboratories.
• Ensure timely sample pickup and delivery in accordance with defined turnaround times (TAT).
• Plan and optimize logistics routes to improve operational efficiency and reduce transportation costs.
• Coordinate with phlebotomists, collection centre teams, lab in-charges, and regional operations teams.
• Ensure proper sample packaging, labelling, handling, temperature control, and transportation as per established SOPs.
• Monitor delayed, missed, rejected, or compromised samples and implement corrective actions.

B. Compliance and Quality

• Ensure compliance with applicable healthcare transportation requirements and company SOPs.
• Maintain proper documentation for sample transportation, temperature monitoring, vehicle movement, and material transfers.
• Ensure adherence to applicable biosafety, biomedical waste, and infectious-material handling requirements.
• Support NABL assessments and internal quality audits by maintaining required logistics records.
• Report transportation incidents, sample leakage, temperature excursions, and other quality deviations promptly.

C. Team Management

• Manage and supervise logistics executives, runners, and outsourced personnel.
• Prepare staff rosters, allocate routes, monitor attendance, and ensure adequate manpower availability.
• Train team members on sample handling, safety, documentation, and service standards.
• Monitor team productivity and take corrective action for performance gaps.

D. MIS and Cost Control

• Prepare daily, weekly, and monthly logistics performance reports.
• Monitor logistics cost per sample, cost per route, fuel expenses, vendor costs, and delivery performance.
• Maintain records of sample pickups, delivery delays, route deviations, and transport utilization.
• Identify opportunities to reduce costs without compromising sample quality or turnaround time.
