Job Summary
We are looking for a proactive, organized and people-oriented HR & Administration Executive to manage day-to-day HR operations and office administration. The role will support recruitment, employee lifecycle management, attendance and leave, payroll coordination, HR documentation, employee engagement, compliance support and smooth administrative operations across the office and business/project environment.
Recruitment & Talent Acquisition
- Coordinate manpower requirements with management and department/project heads.
- Manage job postings, candidate sourcing, screening, interview scheduling and follow-ups.
- Coordinate offer letters, appointment letters, joining documentation and onboarding.
- Maintain recruitment trackers and candidate databases.
Employee Lifecycle & HR Operations
- Manage joining, induction, confirmation, transfers, promotions and exit formalities.
- Maintain employee personal files, HR records and confidential documentation.
- Issue HR letters, certificates and other employee-related documents.
- Support implementation and communication of HR policies and procedures.
Attendance, Leave & Payroll Coordination
- Monitor attendance, late coming, absenteeism, overtime and leave records.
- Prepare accurate monthly attendance and leave data for payroll processing.
- Coordinate with accounts/payroll teams for salary inputs and employee queries.
- Maintain proper records of employee benefits and deductions as applicable.
Employee Relations & Engagement
- Handle routine employee concerns and coordinate resolution with management.
- Support employee engagement activities, celebrations, meetings and internal events.
- Promote a positive, disciplined and professional workplace culture.
- Assist in performance appraisal, feedback and employee development processes.
HR Compliance & Documentation
- Support compliance with applicable labour laws, statutory requirements and company policies.
- Coordinate with external consultants/agencies for statutory matters where required.
- Maintain accurate and timely HR records, registers and documentation.
- Ensure confidentiality and appropriate handling of employee information.
Administration & Office Management
- Manage day-to-day office administration and facilities.
- Coordinate with housekeeping, security, maintenance, transport and other vendors.
- Maintain office supplies, assets, records and administrative inventories.
- Coordinate travel, accommodation, meetings and other administrative requirements.
- Support administrative coordination for project/site teams when required.
- Monitor administrative expenses and maintain relevant records.
MIS & Reporting
- Prepare HR and administrative reports for management.
- Maintain headcount, recruitment, attendance, attrition, leave and other HR trackers.
- Provide timely and accurate HR information for management decision-making.
REQUIRED QUALIFICATIONS & EXPERIENCE
- Bachelor's degree in Human Resources, Business Administration, Commerce or a related field.
- 05 years of relevant experience in HR and administration.
- Experience in construction, infrastructure, manufacturing or project-based organizations will be an advantage.
- Working knowledge of MS Excel, Word, PowerPoint and HRMS/HR software.
- Good understanding of recruitment, employee records, attendance, payroll coordination and basic statutory compliance.
- Strong communication, interpersonal, organizational and problem-solving skills.
- Ability to maintain confidentiality and work effectively with employees at different levels.
