Role summary
You will run all HR and administration work for the company. This covers hiring, payroll inputs, statutory and factory compliance, employee relations, EHS, and the day-to-day running of the office and factory. The role needs someone who delivers accurately and on time.
Key responsibilities
- Keep employee records, the employee master file, attendance, leave data and payroll inputs accurate
- Handle hiring, onboarding, orientation and exit formalities. The targets are under 30 days to hire staff and under 7 days to hire workers.
- Run the performance appraisal process and keep the PMS database, with data submitted every quarter
- Find training needs and run training programs, with at least 10 training hours per employee each year
- Resolve employee grievances within 3 working days and keep communication open between employees and management
- Draft and put in place HR and admin policies, apply labour laws and run disciplinary procedures.
- Keep the HR MIS dashboard updated and submit HR reports by the 5th of every month.
Statutory and Factory Compliance
- Ensure full compliance with PF, ESI, Gratuity, Mediclaim and other statutory requirements, with no penalties.
- Manage Trade License, CTE, CTO, Fire and Pollution approvals and renewals before they are due.
- File statutory returns under the WB Factories Act and keep factory licenses current.
- Monitor contract labor attendance, overtime and compliance.
Administration and EHS
- Supervise security, housekeeping, the pantry, and maintenance of the factory and office, with no downtime in office utilities
- Manage vendor agreements, bills and admin contracts (NDAs, leave and licence agreements), renewing them before they expire
- Ensure full compliance with EHS standards, safety rules, PPE and the dress code
- Run safety inductions and hygiene audits and set the cleaning schedule
- Hand out PPE and uniforms on time.
Qualifications and experience
- MBA or PGDM in HR, MSW, or an equivalent qualification
- 8 to 12 years of HR and admin experience in a manufacturing or factory setting.
- Hands-on knowledge of West Bengal labour laws, the Factories Act, contract labour compliance and pollution and fire licensing.
Skills
- Strong written and spoken English, Hindi and Bengali.
- Proficient in MS Excel and Word, and comfortable with HRMS and payroll software.
- Organised, deadline-driven and accurate.
- Keeps information confidential and handles people issues maturely
