Role & responsibilities
HR Generalist Operations
- Manage day-to-day HR operations and provide HR support to employees and departments.
- Manage the complete employee lifecycle from joining to separation.
- Handle onboarding, induction, confirmation, transfers, promotions, increments and exit formalities.
- Maintain employee personnel files, HR master data and HRMS records.
- Prepare HR letters including appointment, confirmation, increment, transfer, warning, relieving and experience letters.
- Implement and maintain HR policies, procedures and employee guidelines.
- Handle employee queries, grievances and routine HR-related concerns.
- Support disciplinary and employee relations matters.
Attendance, Leave & Employee Records
- Monitor daily attendance, absenteeism, late coming, overtime and shift records.
- Manage employee leave records and attendance regularization.
- Coordinate with department heads regarding attendance and leave approvals.
- Ensure accurate employee data is maintained in the HRMS.
- Prepare attendance and absenteeism reports for management.
Payroll Management
- Manage monthly payroll processing from attendance inputs to salary disbursement.
- Verify attendance, overtime, leave, incentives, deductions and other payroll inputs.
- Ensure accurate calculation of Gross Salary, Net Salary, PF, ESIC, PT, TDS, LWF and other deductions.
- Coordinate with Finance for timely salary processing and bank transfer.
- Prepare payroll reports, salary registers, payslips and monthly MIS.
- Handle employee payroll queries and resolve discrepancies.
Statutory Compliance
- Ensure timely compliance and payments related to:
- ESIC
- EPF / PF
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- TDS / Form 16
- Gratuity
- Bonus
- Other applicable labour and employment compliances.
- Prepare and submit statutory returns within prescribed timelines.
- Maintain statutory registers, records and compliance documentation.
- Coordinate with HR consultants, auditors and government authorities during inspections/audits.
- Keep updated with changes in applicable labour laws and statutory requirements.
Recruitment & Talent Acquisition
- Coordinate end-to-end recruitment for assigned positions.
- Prepare and publish JDs on job portals, LinkedIn and other recruitment channels.
- Source, screen and shortlist suitable candidates.
- Coordinate interviews with hiring managers.
- Manage candidate communication, offer documentation and joining formalities.
- Maintain recruitment trackers and hiring MIS.
- Coordinate with consultants, institutes and recruitment agencies wherever required.
Employee Engagement & Welfare
- Plan and coordinate employee engagement activities and HR initiatives.
- Conduct employee satisfaction/pulse surveys and collect employee feedback.
- Support employee retention initiatives and employee-connect activities.
- Organize employee welfare, health & wellness and awareness programs.
- Coordinate employee celebrations and important HR events.
Performance Management System (PMS)
- Coordinate the organization's PMS and annual appraisal process.
- Support KPI/goal setting and performance review activities.
- Follow up with managers and employees for timely completion of performance evaluations.
- Maintain appraisal and performance-related records.
- Support identification of employee development requirements based on performance.
Training & Development
- Coordinate the annual training calendar.
- Organize technical, behavioural, safety, compliance and employee development programs.
- Coordinate with internal trainers and external training providers.
- Maintain training attendance, feedback and effectiveness records.
- Support Training Needs Identification (TNI/TNA) with department heads.
HR MIS & Analytics
- Prepare monthly HR MIS covering:
- Headcount
- Recruitment status
- Attrition
- Attendance & absenteeism
- Overtime
- Payroll
- Leave
- Training
- Employee movements
- Statutory compliance
- Maintain HR dashboards and management reports.
- Analyse HR data and highlight trends/issues requiring management attention.
Preferred candidate profile
MBA/PGDM HR / MSW / MHRM / BBA / B.Com or equivalent.
Experience: 4–6years of relevant experience in HR Generalist, Payroll and Statutory Compliance, preferably in a manufacturing/engineering organization.
- Strong HR Generalist with hands-on exposure to payroll and statutory compliance.
- Experience handling payroll for 300+ employees will be preferred.
- Manufacturing/factory HR experience preferred.
- Experience dealing with statutory consultants, audits and labour inspections will be an advantage.
- Should be capable of independently managing day-to-day HR operations.
- Strong ownership, coordination and employee-handling skills.
