Job Summary
We are seeking a highly organized and detail-oriented Senior HR Administrator with 8+ years of experience in a manufacturing environment. The role is focused on core HR administration, statutory documentation, payroll coordination, employee records management, and travel & administrative coordination for plant employees and management.
This is a pure HR Administrative role with no involvement in recruitment, performance management, or strategic HR functions.
Key Responsibilities
1. Employee Documentation & Records Management
- Maintain and update employee master data (permanent & contract workforce).
- Issue appointment letters, confirmation letters, increment letters, ID cards, and exit documentation.
- Ensure accurate filing and maintenance of employee personal files (physical & digital).
- Maintain confidentiality of all employee records.
2. Attendance & Leave Administration
- Manage biometric attendance and shift records.
- Monitor leave balances and approvals.
- Validate overtime and shift allowances.
- Prepare attendance data for payroll processing.
3. Payroll Coordination
- Compile monthly payroll inputs (attendance, OT, leave deductions, bonuses).
- Coordinate with payroll team/vendor for salary processing.
- Maintain payroll documentation and statutory deduction records.
- Resolve employee salary-related queries.
4. Statutory Compliance Documentation
- Maintain statutory registers and records as per applicable labor laws.
- Ensure compliance documentation is audit-ready.
- Support labor inspections and maintain compliance trackers.
- Monitor statutory documentation for contract labor.
5. Travel & Administrative Coordination
- Arrange domestic and international travel bookings (flights, rail, hotels, local transport) for plant employees and management.
- Coordinate visa documentation and travel insurance when required.
- Manage travel approvals and maintain travel expense records.
- Liaise with travel vendors and negotiate corporate rates.
- Maintain travel MIS and expense reports.
6. HR MIS & Reporting
- Prepare monthly HR reports (headcount, absenteeism, overtime, attrition).
- Maintain employee database and compliance trackers.
- Support internal and external audits with required HR documentation.
7. Exit & Full & Final Settlement Administration
- Process exit formalities and documentation.
- Coordinate full & final settlement inputs.
- Maintain exit records and statutory closure documentation.
Educational Qualification
- Graduate in any discipline.
- MBA / PGDM in HR preferred.
Experience Required
- Minimum 8+ years of core HR Administration experience.
- Mandatory experience in manufacturing / factory environment.
- Exposure to large blue-collar workforce management.
- Experience in handling corporate travel bookings and coordination.
