CHIEF OF STAFF / GENERAL MANAGER EXECUTIVE OFFICE & CORPORATE COORDINATION

Location: Corporate Office

Reporting To: Executive Director (ED) & Managing Director (MD)

Experience: 15 20 Years

About the Role

We are looking for a highly accomplished, senior-level professional to work directly with the Executive Director and Managing Director and serve as a key member of the Executive Office. This is a high-impact role for a professional who can operate across the organization, coordinate with senior leadership, drive follow-up and execution, and ensure that key priorities of the ED and MD are effectively translated into action. The successful candidate will act as a central coordination link between the Executive Office, Plant Heads, Corporate Functional Heads and other senior stakeholders across the organization. This is not a conventional Executive Assistant position. The role requires strong business understanding, leadership maturity, exceptional coordination skills and the confidence to engage with senior management across multiple locations.

Key Responsibilities
  • Work directly with the ED and MD on key strategic, business and operational priorities.
  • Coordinate with Plant Heads and Corporate Functional Heads on critical assignments, projects and management priorities.
  • Ensure systematic follow-up and closure of instructions and action points originating from the Executive Office.
  • Coordinate management meetings, business reviews, plant reviews and strategic discussions.
  • Prepare and coordinate meeting agendas, presentations, briefing notes, minutes and action trackers.
  • Monitor critical projects, initiatives and organizational priorities and provide regular updates to the ED and MD.
  • Coordinate the collection, consolidation and timely submission of key MIS and management reports.
  • Support the ED and MD with business reviews, analysis and decision-making information.
  • Coordinate the annual budgeting and business-planning process with plants and corporate functions.
  • Track major projects, CAPEX, expansion initiatives and other strategic priorities.
  • Identify delays, bottlenecks and critical risks and elevate matters requiring leadership intervention.
  • Coordinate official travel, plant visits and important meetings of the ED and MD.
  • Prepare briefing notes and ensure proper follow-up on commitments arising from meetings and visits.
  • Maintain a central dashboard of key priorities, decisions, action points and pending matters.
  • Handle highly confidential business information with complete professionalism and discretion.
Candidate Profile
  • 1520 years of relevant experience, preferably in a large manufacturing, industrial or multi-location organization.
  • Experience in an Executive Office, Chief of Staff, Corporate Strategy, Business Planning, Operations Excellence or senior business coordination role.
  • Strong exposure to working directly with senior management and leadership teams.
  • Excellent understanding of business operations, financial reporting, budgets and management information systems.
  • Exceptional communication, presentation and stakeholder-management skills.
  • Strong ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Excellent follow-up, coordination and execution capabilities.
  • The confidence and maturity to interact effectively with Plant Heads and senior functional leaders.
  • Strong analytical, problem-solving and decision-making abilities.
  • High levels of ownership, integrity, confidentiality and professional discretion.
Education

MBA or equivalent postgraduate qualification preferred. Candidates with an Engineering and Management background will be an added advantage.
