OPES Healthcare Private Limited is seeking a skilled Export Operations & Logistics lead in Ahmedabad. You will oversee end-to-end export documentation, shipments, and cross-functional coordination with CHA, freight forwarders, and customers.

The role requires strong regulatory knowledge, team leadership, and a focus on process improvement to ensure timely cargo movement and audit readiness.

• Lead export operations and logistics team to ensure timely shipments.

Job description

Role & responsibilities

1. Sales Target & Order Execution

• Achieve monthly sales, dispatch, and delivery commitments.
• Coordinate order execution, cargo readiness, dispatch, and delivery.
• Monitor order priorities, schedules, and delivery timelines.
• Plan shipments as per customer requirements and cargo availability.

2. ExportImport Documentation & Compliance

• Manage end-to-end export-import documentation for pharmaceutical shipments.
• Prepare and review Commercial Invoices, Packing Lists, Shipping Bills, B/L, AWB, Certificates of Origin, etc.
• Ensure documentation accuracy and regulatory compliance.
• Coordinate with CHA, freight forwarders, customs brokers, and external agencies.
• Maintain proper documentation records for audits.

3. Logistics & Shipment Coordination

• Coordinate with freight forwarders, CHA/customs brokers, shipping lines, airlines, and transporters.
• Monitor cargo readiness, dispatch, shipment status, transit, and final delivery.
• Ensure timely pre-dispatch and cargo movement.
• Resolve shipment delays, documentation discrepancies, and customs issues.

4. Cross-Functional & Customer Coordination

• Coordinate with Supply Chain, Warehouse, Finance, QA, Regulatory, and Commercial teams.
• Follow up on approvals, production/cargo readiness, documentation, and dispatch.
• Provide shipment status updates to customers and internal stakeholders.
• Handle operational queries and maintain shipment trackers, export MIS, and management reports.

5. Team Management & Process Improvement

• Lead and manage the Export Operations & Logistics team.
• Allocate responsibilities and monitor team performance.
• Ensure compliance with SOPs, company policies, and export procedures.
• Identify process gaps and implement CAPA.
• Drive continuous improvement in export documentation, shipment planning, coordination, and reporting.
• Support internal and external audits.

6. Advance Authorization / Advance Licence Management

• Manage end-to-end Advance Authorization/Advance Licence activities.
• Coordinate licence applications and related documentation.
• Monitor licence utilization, imports, exports, and export obligations.
• Track pending licences and closure status.
• Coordinate EODC documentation and Advance Licence closure.
• Maintain complete records for audit and regulatory purposes.
