Responsibilities

  • Ensure accurate processing of e-seals and self-sealing for export consignments.
  • Ensure DGFT/Customs/RBI/FEMA compliance.
  • Leverage Advance License, EPCG, DBK, DEPB benefits.
  • Coordinate with freight forwarders, CHA, transporters, and shipping lines.
  • Monitor shipments and ensure timely port clearance.
  • Liaise with banks for LC payments and remittances.
  • Track duty savings and export incentives; maintain audit records.
  • Oversee overseas communication with clients and regulators.
  • Maintain MIS on imports/exports, licenses, shipments, incentives.

Job description

The Manager / Assistant Manager – EXIM will be responsible for end-to-end management of Export-Import operations, including documentation, statutory compliance, liaison with regulatory authorities, and ensuring timely clearances. The role involves handling advance authorizations, DGFT-related schemes, project shipments, pre & post-shipment documentation, and overseas communications while ensuring adherence to EXIM policy and optimizing benefits under Foreign Trade Policy (FTP).


Key Responsibilities:

1. Import & Export Documentation:


  • Manage and prepare complete set of import & export documents as per statutory and client requirements.

  • Handle pre-shipment and post-shipment documentation, including Letters of Credit (LCs), Bills of Lading, Invoices, Packing Lists, and other statutory documents.

  • Ensure accurate processing of e-seals and self-sealing procedures for export consignments.


2. Compliance & Regulatory Affairs:


  • Ensure compliance with DGFT, Customs, RBI, and FEMA guidelines.

  • Handle Advance License, EPCG, Duty Drawback (DBK), Duty Entitlement Passbook (DEPB), and other Foreign Trade Policy (FTP) benefits.

  • File claims, maintain documentation, and track status for export incentives/benefits under EXIM policies.

  • Coordinate with freight forwarders, CHA, transporters, and shipping lines for smooth movement of shipments.

  • Handle LCL/FCL, break bulk, and critical/project cargo shipments, ensuring cost and time optimization.

  • Monitor shipment status and ensure timely clearance at ports.

  • Liaise with banks for processing of LC payments, inward/outward remittances, and reconciliation of accounts.

  • Track duty savings, incentives, and ensure timely realization of export proceeds.

  • Maintain records for audit, statutory, and management purposes.


5. Communication & Coordination:


  • Manage overseas business communication, ensuring professional correspondence with international clients, suppliers, and agents.

  • Coordinate with internal departments (Production, Quality, Dispatch, Accounts) to ensure smooth execution of export/import orders.

  • Develop and maintain strong relationships with clients, service providers, and regulatory authorities.


6. MIS & Reporting:


  • Maintain and update MIS reports on imports, exports, licenses, claims, shipments, and incentive tracking.

  • Provide regular updates to management on status, risks, and opportunities in EXIM operations.

  • Strong knowledge of DGFT, Customs, FTP, and international trade regulations.

  • Expertise in Advance License, EPCG, DBK, DEPB, and export incentives.

  • Proficiency in EXIM documentation, LC procedures, and international shipping terms (Incoterms).

  • Excellent communication and negotiation skills with overseas clients and stakeholders.

  • Ability to handle critical shipments with accuracy and timeliness.

  • Strong analytical, problem-solving, and coordination abilities.


Proficiency in MS Office, ERP systems, and EXIM software.
