Job summary

Itvedant Education is seeking an Executive Assistant to support the Managing Director with high-level administrative tasks. You will manage calendars, schedule meetings, handle correspondence, prepare reports, and coordinate domestic and international travel, while ensuring confidentiality and efficient operations.

The role requires strong organizational, time management, and communication skills to support executive decision-making and drive workflow improvements.

Qualifications

  • Prior experience as an Executive Assistant or similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with project management and communication tools is a plus.
  • Strong time management and ability to meet deadlines.
  • Experience managing projects and tasks within budget.

Responsibilities

  • Coordinate and manage the executive's schedule, including arranging meetings, appointments, and travel plans.
  • Handle incoming and outgoing communications, emails, and phone calls for the executive.
  • Draft, review, and edit documents, presentations, and reports.
  • Maintain an organized and efficient office environment.
  • Prepare agendas, documents, and presentations for meetings.
  • Attend meetings, take minutes, and follow up on action items.
  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries. Monitor and reconcile expenses.
  • Prepare expense reports and ensure adherence to budget guidelines.
  • Assist in the planning, execution, and tracking of various projects.
  • Collaborate with cross-functional teams.
  • Act as a point of contact between the executive and internal/external stakeholders.
  • Build and maintain relationships with clients, partners, and team members.
  • Prioritize tasks and deadlines, ensuring urgent matters are addressed promptly.
  • Conduct research, gather data, and compile information for decision-making and strategic initiatives.
  • Handle sensitive information with discretion and confidentiality.

The Executive Assistant acts as a liaison between the executive and internal/external stakeholders, ensuring smooth communication and operations.   • Expertise in managing time effectively, ensuring that deadlines are met, and tasks are completed efficiently.
