The Executive Assistant will play a critical in supporting the Country General Manager by managing schedules, coordinating communications, organizing meetings, handling confidential information, and ensuring efficient execution of executive-level activities. The requires strong organizational, multitasking, communication, and stakeholder management skills to support leadership effectiveness and business continuity. The candidate will act as a trusted partner to senior management while maintaining professionalism and confidentiality at all times.
Responsibilities
- Manage and coordinate the Country General Manager’s calendar, appointments, meetings, and travel schedules.
- Provide high-level administrative and operational support to ensure smooth functioning of the executive office.
- Coordinate internal and external communications on behalf of the Country General Manager.
- Arrange meetings, conferences, leadership discussions, and business reviews efficiently.
- Prepare meeting agendas, presentations, reports, MIS data, and business summaries for management review.
- Record meeting minutes and track follow-up actions to ensure timely completion of commitments.
- Coordinate with cross-functional departments, business partners, customers, and external stakeholders.
- Manage confidential business information, executive documents, contracts, and sensitive records securely.
- Support strategic initiatives, special projects, and organizational priorities assigned by leadership.
- Organize domestic and international travel arrangements including itineraries, accommodations, and documentation.
- Monitor deadlines, business priorities, and operational activities to support effective decision-making.
- Handle executive correspondence, email management, official communications, and follow-ups professionally.
- Assist in preparing business proposals, presentations, and management communication materials.
- Ensure seamless coordination between leadership teams and operational departments.
- Support event management, leadership meetings, employee engagement activities, and corporate events when required.
- Track project progress, departmental updates, and key business metrics for executive review.
- Identify opportunities to improve executive workflow, coordination processes, and office efficiency.
