TRYST IIT Bombay invites an experienced Executive Assistant to become the operational backbone of the leadership office. This role requires CXO-level support mastery, handling multi-time-zone calendars, confidential information, and proactive meeting preparation.

You will coordinate board and leadership meetings end-to-end, plan complex travel with visa and forex arrangements, manage expenses in SAP/Concur/EZ-ER, and oversee procurement and event logistics with discretion and professionalism.

Qualifications

  • 12–16 years of experience as an Executive Assistant, ideally supporting CXO-level leaders.
  • Experience handling confidential information with impeccable discretion.
  • Bachelor's degree required; additional certification in office administration is a plus.

Responsibilities

  • Manage complex, multi-time-zone calendars for senior leadership, resolving conflicts proactively.
  • Coordinate board and leadership meetings end-to-end — scheduling, materials, logistics, action items.
  • Own meeting cadence and governance rhythm so nothing slips through the cracks.
  • Plan and execute complex domestic and international travel itineraries, including visa processing and forex arrangements.
  • Anticipate travel risks and build contingencies for leadership.
  • Process and reconcile expenses using SAP, Concur, and EZ-ER.
  • Manage procurement through iProcurement and coordinate with vendors on contracts and pricing.
  • Provide dedicated support to expatriate and international leadership, navigating cross-cultural styles.
  • Handle confidential business, financial, and personnel information with discretion.
  • Plan and deliver offsites, town halls, and corporate events from concept to execution.
  • Manage vendors, venues, and budgets to deliver polished experiences under tight timelines.

Job description

We are looking for a seasoned Executive Assistant to become the operational backbone of our leadership office. This is not an entry point into executive support — it's a role for someone who has already mastered it. You've run a global calendar across time zones, kept a boardroom on schedule and been trusted with information that never leaves the room. We want that expertise working for us. The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Role & Responsibilities

  • Coordinate board and leadership meetings end-to-end — scheduling, materials, logistics, and follow-through on action items
  • Own meeting cadence and governance rhythm so nothing critical slips through the cracks
  • Plan and execute complex domestic and international travel itineraries, including visa processing and forex arrangements
  • Anticipate travel risks and build contingencies so leadership never has to think about logistics mid-trip
  • Process and reconcile expenses using SAP, Concur, and EZ-ER, ensuring accuracy and policy compliance
  • Manage procurement through iProcurement and coordinate with vendors on contracts, pricing, and service delivery
  • Provide dedicated support to expatriate and international leadership, navigating cross-cultural working styles with ease
  • Handle confidential business, financial, and personnel information with absolute discretion and sound judgment
  • Plan and deliver leadership offsites, town halls, and corporate events from concept through execution
  • Manage vendors, venues, and budgets to deliver polished experiences under tight timelines.
Eligibility criteria
  • 12–16 years of experience as an Executive Assistant, ideally supporting CXO, MD, or Founder-level leaders
  • Experience supporting leadership and working comfortably across cultures and geographies
  • Impeccable discretion with a history of handling sensitive, confidential information
  • Bachelor's degree required; additional certification in office/business administration is a plus
  • Composed under pressure, sharp attention to detail.
