The purpose of an Executive Assistant is to provide high-level administrative support to executives by managing schedules, coordinating meetings, handling communications, and ensuring efficient office operations. They act as a key liaison, assist in decision‑making, and support business priorities to enhance executive productivity.
About the Role
Interaction with consultants, customers, vendors, government agencies and officials to schedule meetings, coordinate events and assist with problem resolution. Interactions/Follow‑up with HOD on task assigned by CXO.
Responsibilities
- Creating and maintaining District Board Meeting agendas, including incorporating agenda material for presentation for routine and special meetings.
- Answers and screens phone calls and manages the CXO mail and social media accounts.
- Schedules and coordinates appointments, meetings and events, including registration and travel arrangements as necessary.
- Transcribes drafts, proofreads and revises correspondence, memos, flyers, agendas, minutes, resolutions and policies.
- Assists in the completion of various forms, notices, press releases and other communications, which may require posting and/or publication.
- Assists CXO with customer inquiries and problem resolution.
- Exhibits willingness to ensure successful inter-departmental relationships.
- Completes the CXO desk report, which requires input from all departments and is presented to the Board of Directors.
- Disseminates information to HOD, Department Managers regarding changes to company’s documents, policies and procedures.
- Travel with CXO as and when required like, customer meetings, Social Events, Award Functions and Product Launch at exhibitions etc.
- Provides general oversight to MD on all activities and day-to-day operations, and assures a smoothly functioning, efficient organization.
- Manage CXO liaising with HOD in other Department Managers and with external contacts.
- Provides transcription and dictation of Board meeting minutes.
- Reviewing the efficiency of HOD and Managers by regular follow‑up and timely submissions of reports and analysis.
- CXO diary keeping and arranging appointments.
- Participate in all internal and external audits.
- Perform all other task given by management.
