Role Overview
The Executive Assistant (EA) will provide high-level administrative, operational, and coordination support to a Partner at GroupDCA. The role requires a proactive, organized, and adaptable individual who can effectively manage schedules, travel, meetings, and competing priorities in a fast-paced environment.
The ideal candidate should be resourceful, detail-oriented, tech-savvy, and comfortable handling confidential information with professionalism and discretion.
Key Responsibilities
- Manage and optimize the Partner's calendar, including meetings, appointments, travel, and key deadlines.
- Anticipate scheduling conflicts and proactively manage priorities.
- Prepare meeting agendas, notes, action items, and follow-ups.
- Coordinate day-to-day administrative activities and support business priorities.
- Maintain organized records, documents, and correspondence.
- Coordinate internal and external meetings with clients, consultants, vendors, and project teams.
- Act as a key liaison between the Partner and internal/external stakeholders.
- Track action items and follow up with relevant stakeholders to ensure timely completion.
- Support coordination across multiple ongoing projects and initiatives.
- Plan and coordinate domestic and international travel, including flights, accommodation, transportation, and itineraries.
- Manage travel-related documentation and expense submissions.
- Coordinate logistics for meetings, client visits, industry events, and conferences.
- Assist with personal appointments, reservations, travel arrangements, and other coordination needs as required.
- Support ad hoc personal and professional tasks while maintaining confidentiality and discretion.
Qualifications
- Bachelor's degree in Business Administration, Communications, Management, or a related field preferred.
- 3-8 years of experience as an Executive Assistant, Personal Assistant, or in a similar support role.
- Prior experience supporting senior leadership within architecture, design, real estate, construction, engineering, consulting, or other professional services firms is preferred.
- Proactive and resourceful with strong communication and stakeholder management skills.
- Excellent organizational, prioritization, and multitasking abilities.
- Tech-savvy, with proficiency in Microsoft Office, Google Workspace, and productivity tools.
- Ability to work independently, adapt to changing priorities, and take initiative.
- High level of professionalism, discretion, and attention to detail.
