Executive Support: Manage and optimize the executive schedule, including coordinating meetings, appointments and travel arrangements; prepare and organize documents, agendas, presentations and reports for meetings and executive reviews; act as a liaison between executives, internal departments, clients and external stakeholders; handle and prioritize incoming requests, emails and phone calls on behalf of the executive.
Project Coordination: Assist in the management of key projects by tracking progress, following up on deadlines and coordinating with team members across departments; organize and prepare for board meetings, leadership team meetings and other key events, including logistics and documentation; take minutes and action items during meetings and follow up on execution of decisions.
Communication and Liaison: Serve as the first point of contact for internal and external communications, providing timely responses and filtering information for the executive; draft and proofread emails, reports and other written communication on behalf of executives; handle confidential information with discretion and maintain a high level of professionalism at all times.
Travel and Logistics Management: Coordinate complex travel arrangements including flights, accommodations, ground transportation and itineraries; ensure executive time is optimized with thorough preparation for all travel meetings and engagements.
Administrative Functions: Handle office and administrative tasks including filing, maintaining office supplies, managing documents and assisting with personal administrative needs as required; prepare expense reports and manage budgets related to executive activities.
Event Management: Organize internal and external events, including team building activities, corporate meetings, conferences and client engagements; assist in logistics and coordination of events.
Qualifications
3-6 years of proven experience as an Executive Assistant, Personal Assistant or similar role supporting C suite executives or senior leadership.
A bachelor’s degree or equivalent experience in a related field.
Excellent organizational and time-management skills with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills with attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace and other office productivity tools.
Ability to manage confidential information with discretion and professionalism.
Strong interpersonal skills and the ability to work collaboratively with various stakeholders.
Proactive, resourceful and adaptable, with the ability to think on your feet and solve problems independently.
