Role Summary

You will be the on-ground owner for PlayAll events handling logistics, coordination, and execution at our venues. This is a hands-on, execution-first role suited to someone who loves sports, is highly organized, and enjoys working in a fast-paced environment.

Key Responsibilities

Event Coordination

• Coordinate logistics for tournaments, leagues, and corporate events at assigned venues.
• Liaise with venue staff, vendors (catering, dcor, equipment), and participants before and during events.
• Maintain event checklists and ensure setup is complete before event start time.

On-Ground Execution

• Be present on-ground for events; manage flow, resolve issues, and ensure smooth participant experience.
• Handle registration desks, scorekeeping coordination, and prize/certificate distribution.
• Report on-ground problems promptly and elevate when needed.

Registration Sales

• Call assigned leads and convert them into event registrations.
• Follow up persistently - calls, WhatsApp messages, reminders - to hit registration targets.
• Maintain a lead tracker and update conversion status daily.

P&L & Reporting

• Own the revenue and cost for each assigned event - registrations, sponsorships, vendor spend.
• Track event-level P&L and share a post-event report with leadership within 24 hours.
• Ensure events are priced and executed to hit revenue targets.

Communication & Follow-up

• Communicate event details to participants via WhatsApp, calls, and social groups.
• Collect feedback post-event and maintain records: attendance, registrations, photos, and expenses.

What This Role Is Not

This role does not involve sourcing sponsorships, setting event strategy, building the annual calendar, or managing a team. You own your events end-to-end - lead conversion, execution, and P&L - but work within a framework set by leadership.

What Success Looks Like (3 Months)

• Registration targets met or exceeded for each event.
• Events break even or turn profitable within the first 60 days.
• Lead tracker updated daily with zero gaps in follow-up.
• Events run on time with consistently positive participant feedback.
• P&L reports submitted within 24 hours of each event, no gaps.
• Vendor and venue coordination handled independently without hand-holding.
