Job summary

Majestic Basmati Rice Pvt. Ltd. is seeking an Executive Assistant to support the Director of the rice manufacturing unit. The role involves managing the Director's calendar, communications, and travel, and coordinating with plant heads on behalf of the Director.

The ideal candidate will handle confidential information with integrity, draft presentations and reports, and ensure smooth day-to-day administrative and business support within a manufacturing environment.

Qualifications

  • Graduate in any discipline; MBA/PG Diploma preferred.
  • Excellent written and verbal English and Hindi communication.
  • Strong organizational, multitasking and confidentiality skills.

Responsibilities

  • Manage Director's calendar, travel, meetings and priorities.
  • Screen calls and correspondence; prepare briefing notes and reports.
  • Coordinate with plant heads and departments to collect updates.
  • Track actions, approvals, and project timelines for the Director.
  • Liaise with government offices, auditors, vendors, and external stakeholders.
  • Maintain filing, contracts, budgets, and confidential documents.

About The Role

We are looking for a sharp, organized, and dependable Executive Assistant to support the Director of our rice manufacturing unit. The candidate will manage the Director's schedule, communications, and travel, coordinate closely with plant department heads on behalf of the Director, and ensure smooth day-to-day administrative and business support, while maintaining the highest standards of confidentiality and professionalism.

Key Responsibilities
Calendar, Travel & Meeting Management
  • Manage the Director's calendar, appointments, and daily schedule, prioritizing and resolving conflicts proactively.
  • Plan and coordinate domestic and international travel — itineraries, bookings, visas, and logistics.
  • Organize internal and external meetings, plant visits, and reviews — scheduling, venue/logistics, agenda circulation, and minutes of meeting.
  • Track action items arising from meetings and follow up with concerned departments to ensure timely closure.
Communication & Correspondence
  • Draft, review, and manage the Director's correspondence — emails, letters, presentations, and reports.
  • Act as the first point of contact for the Director's office, screening calls, visitors, and requests, and routing them appropriately.
  • Prepare briefing notes, presentations, and MIS reports for the Director's meetings and reviews.
  • Maintain confidentiality of sensitive business, financial, and personnel information at all times.
Plant & Business Coordination
  • Liaise with plant department heads (Production, Quality, HR, Finance, Procurement, Sales) to gather updates, reports, and information required by the Director.
  • Track key business metrics, project timelines, and pending approvals, and keep the Director informed of status and priorities.
  • Coordinate with government offices, auditors, bankers, vendors, and other external stakeholders on behalf of the Director as required.
  • Support the Director in tracking compliance, audit, and statutory timelines relevant to the unit.
  • Assist in organizing plant events, visitor/guest hospitality, and official functions.
Documentation & Administration
  • Maintain proper filing, documentation, and record-keeping of the Director's office — contracts, approvals, correspondence, and reports.
  • Manage expense tracking, reimbursements, and administrative budgets for the Director's office.
  • Handle confidential documents and ensure secure storage and controlled access.
  • Coordinate office supplies, equipment, and logistics for the Director's office.
Qualification
  • Graduate in any discipline; MBA or PG Diploma in Management preferred.
  • 3–7 years of experience as an Executive Assistant / Personal Secretary / Personal Assistant to senior management, promoters, or directors — manufacturing industry experience preferred.
Required Skills
  • Excellent written and verbal communication skills in English and Hindi.
  • Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to multitask and manage priorities under pressure.
  • High level of discretion and ability to handle confidential information with integrity.
  • Strong interpersonal skills with the ability to coordinate across departments and with external stakeholders.
  • Good drafting, minuting, and presentation-preparation skills.
  • Flexibility to travel with or on behalf of the Director as required.
  • Pleasant, professional demeanour with strong attention to detail.
Reporting & Coordination

Reports To: Director – Rice Manufacturing Unit

Internal Coordination: Production, Quality, HR, Finance, Procurement, Sales & Plant Leadership Team

External Coordination: Government Offices, Auditors, Bankers, Vendors, Guests & Visitors

Ideal Candidate

The ideal candidate is proactive, trustworthy, and composed under pressure, with the maturity to represent the Director's office professionally at all times. Candidates with prior experience supporting senior leadership in a manufacturing or plant environment, and comfortable working closely with cross-functional teams, will be preferred.
