Role & responsibilities
- Document Control:
- Establish and implement document control procedures, ensuring compliance with industry standards, client requirements, and internal guidelines.
- Administer document management software systems to organize, track, and control various project documents, including drawings, specifications, reports, and correspondence.
- Maintain accurate databases and electronic filing systems for efficient retrieval of documents by all relevant stakeholders.
- Regularly monitor and update document logs, registers, and logs to reflect changes, approvals, and revisions.
- Facilitate the distribution of documents to internal and external parties as required, ensuring timely delivery and adherence to project deadlines.
- Quality Assurance:
- Collaborate closely with project teams, engineers, and other stakeholders to ensure document accuracy, integrity, and compliance with established standards.
- Perform routine quality checks on documents to confirm proper formatting, completeness, and adherence to pre-established templates.
- Regularly update documents to reflect approved changes or revisions, maintaining version control to avoid confusion or duplication.
- Document Coordination:
- Act as the primary liaison between various departments, project teams, and external partners regarding document-related queries, status updates, and approvals.
- Facilitate efficient review, approval, and distribution processes, ensuring all parties are informed of document status and timelines.
- Support project managers with document-related tasks such as preparing transmittals, tracking progress, and reporting on discrepancies or delays.
- Compliance and Security:
- Ensure compliance with data protection and confidentiality guidelines, safeguarding sensitive information from unauthorized access or alteration.
- Assist in regular audits and inspections to validate adherence to company and industry standards, promptly addressing any identified issues.
- Stay updated on evolving document management best practices, tools, and relevant technologies, proactively identifying opportunities for continuous improvement.
