Key Responsibilities
- Act as SPC for a multidisciplinary team for drawing/document release.
- Prepare and maintain the Master Document List (MDL) in the EDMS tool.
- Follow up with the Engineering team on document submission due dates and keep them notified on the due deliverable.
- Update the MDL periodically on the document submission status; revise dates and notify the customer in case of any delay.
- Follow up with the customer on document approval; share any customer comments with the Engineering team and get the document updated and resubmitted.
- Determine which documents require customer approval; only critical documents/drawings are submitted for approval, as specified on the MDL at the start of projects.
- Review documents in accordance with the Document Management System specification.
- Use the EDMS tool for all communication and document storage.
- Extract reports from the EDMS weekly and share them with all key stakeholders of the project.
- Handle vendor documents outside the EDMS system and manage inbound and outbound communication.
- Store vendor documents in EDMS folders and communicate them to the Engineering team.
- Manage the Project Folder, govern access control, and ensure only required stakeholders have access.
- Perform audits to ensure stored documents comply with the revision status specified in the MDL.
Work Experience & Qualifications
- Knowledge of Document Management Systems.
- Knowledge of MS Office and EDMS systems.
- Experience with SAP, WRENCH, and PRIMAVERA is advantageous.
- Experience with EDMS (Aconex) is an added advantage.
- Excellent communication skills – able to make clear, convincing oral presentations, listen effectively, and clarify information as needed.
- Qualification: BE/Tech in Mechanical Engineering.
- Ability to handle discussions and communications independently.
- Works effectively in a collaborative environment.
