Job summary

A Paul Instruments is seeking a Sales Coordinator to manage post-order commercial activities, including order creation in ERP, invoicing, portal billing, and payment follow-up. You will ensure documentation accuracy and timely reporting from IMT Faridabad/Okhla.

Qualifications

• Bachelor's degree in Commerce, Business Administration, Finance, Operations or related discipline.
• 13 years in sales operations, sales coordination, billing, order processing, or receivables.
• Working knowledge of Microsoft Excel and MS Word; experience with IREPS, GEM, E-Procurement Portal preferred.

Responsibilities

• Check IREPS for CRN, CRC, WRA, bill status, and R-Note updates; maintain trackers and prepare bill documents.
• Create Sales Orders in ERP upon PO receipt and update PO and payment tracking workbooks.
• Record warranty rejections and deductions in ERP, coordinate corrective actions and supporting documents.
• Coordinate Bank Guarantees, drafts, and dispatch finalized BGs.

Sales Coordinator

Department: Sales Operations & CRM

Reports To: CRM Manager

Job Location : IMT Faridabad/Okhla

1. Role Purpose

To manage post-order commercial activities, including Sales Order creation, dispatch documentation, invoicing, portal billing, payment follow-up, warranty documentation, and management reporting. Ensure accurate records, timely coordination, and proper maintenance of commercial documents.

2. Key Responsibilities

1. Check IREPS for CRN, CRC, Warranty Rejection Advice (WRA), bill status, and R-Note updates; maintain relevant trackers and Prepare complete bill-document and Submit it on IREPS, GEM and other customer/vendor portals
2. Create Sales Orders in ERP upon receipt of Purchase Orders and update PO and Payment Tracking workbooks.
3. Record warranty rejections and deductions in ERP complaint records and coordinate corrective action and supporting documents.
4. Coordinate Bank Guarantees, including obtaining consignee-approved drafts, updating commercial details and dates, arranging reviews, following up with Accounts, and dispatching finalized BGs.

3. Qualifications & Experience

• Education: Bachelor's degree in Commerce, Business Administration, Finance, Operations, or a related discipline.
• Experience: 13 years in sales operations, Sales coordination, billing, order processing, or receivables.
• Systems: Working knowledge of Microsoft Excel, MS Word. Experience with IREPS, GEM, E-Procurement Portal, etc is preferred.
