We are looking for an experienced and proactive Assistant Manager – Administration to oversee day-to-day administration, facility management, vendor coordination, travel desk, procurement, and employee support activities. The role will be responsible for ensuring smooth office operations, cost-effective resource management, and timely coordination with internal and external stakeholders.
Key Responsibilities
- Administration & Facility Management – Manage overall office administration, facility operations, housekeeping, security, maintenance, and workplace services.
- Vendor Management – Manage vendors, service providers, contracts, quotations, negotiations, performance, and timely service delivery.
- Travel Desk Management – Handle flight, hotel, cab, and transportation arrangements for employees, guests, and senior management.
- Procurement & Purchase Coordination – Manage administrative procurement, obtain and compare quotations, negotiate with vendors, and ensure timely availability of materials and services.
- Stationery & Inventory Management – Monitor stationery, office supplies, consumables, and administrative inventory with proper stock records and controls.
- Event & Employee Engagement – Coordinate employee engagement activities, corporate events, meetings, celebrations, and other administrative events.
- Asset & Maintenance Management – Maintain records of office assets and coordinate repair, maintenance, AMC, and replacement activities.
- Budget & Cost Control – Track administrative expenses, vendor bills, budgets, and identify opportunities for cost optimization.
- Invoice & Finance Coordination – Verify vendor invoices, supporting documents, approvals, and coordinate with Finance for timely processing and payments.
- MIS & Documentation – Prepare administration MIS, vendor records, expense reports, inventory reports, contracts, and other management reports.
- Employee & Visitor Management – Ensure smooth support for employees, visitors, clients, and senior management.
- Compliance & Safety Coordination – Support office-related statutory, safety, security, and compliance requirements.
- Team & Stakeholder Coordination – Coordinate with HR, Finance, IT, Security, Procurement, and other departments for smooth administrative operations.
- Issue Resolution – Handle administrative concerns and ensure timely resolution of facility, vendor, travel, and employee support issues.

- Good knowledge of MS Excel, MS Word & PowerPoint

- Ability to work independently and take ownership of administrative operations
