Assistant Facility Manager
Location: Gurgaon
Working Days: 5 Days a Week
Shift: General Shift
Transportation: No Cab Facility

About the Company
We are looking for an experienced and proactive Assistant Facility Manager to join our team. The ideal candidate will be responsible for managing end-to-end facility operations, engineering maintenance, vendor management, workplace safety, administration, transport operations, and employee services while ensuring seamless day-to-day business operations.
Key Responsibilities
Facility Operations
- Plan, coordinate, and oversee daily facility operations to ensure uninterrupted business continuity.
- Manage housekeeping, pantry, security, engineering, transport, and office administration services.
- Develop annual maintenance plans, AMC schedules, repair plans, and preventive maintenance calendars.
- Ensure availability of office consumables, pantry supplies, stationery, toiletries, drinking water, and other workplace essentials.
- Conduct routine inspections to maintain workplace cleanliness, safety, and operational efficiency.
- Coordinate with landlords and building management for smooth facility operations.
- Ensure all statutory, safety, and compliance signages are displayed and maintained.
Vendor & Contract Management
- Manage housekeeping, security, engineering, transport, and facility management vendors.
- Handle vendor onboarding, contract administration, SLA monitoring, and performance evaluations.
- Conduct regular vendor review meetings and ensure service quality.
- Ensure timely maintenance of HVAC systems, electrical equipment, DG sets, UPS, fire safety systems, lifts, plumbing, and pantry equipment.
Engineering Operations & Maintenance
- Coordinate preventive, predictive, corrective, and breakdown maintenance activities.
- Monitor electrical, mechanical, plumbing, HVAC, lighting, fire safety, and utility systems.
- Maintain maintenance records, service reports, and equipment history.
- Recommend equipment upgrades and lifecycle improvements where required.
- Ensure all Planned Preventive Maintenance (PPM) activities are completed on schedule with proper approvals and documentation.
Health, Safety & Compliance
- Ensure compliance with workplace safety, statutory regulations, fire safety, and environmental standards.
- Conduct workplace inspections and risk assessments.
- Coordinate emergency preparedness, evacuation drills, fire drills, first-aid arrangements, and safety awareness programs.
- Investigate workplace incidents and implement corrective and preventive actions.
- Train employees and Floor Wardens on emergency response procedures.
Budget & Cost Management
- Monitor facility operating expenses and identify cost-saving opportunities.
- Track utility consumption and optimize operational costs.
- Ensure efficient utilization of consumables and eliminate wastage.
Employee & Workplace Services
- Monitor transport operations and resolve employee escalations.
- Manage visitor handling and reception coordination.
- Support company events, town halls, and workplace initiatives.
- Ensure a positive employee workplace experience.
Team Management
- Lead and supervise facility, housekeeping, engineering, and support teams.
- Guide vendor teams and ensure timely execution of assigned tasks.
- Conduct regular performance reviews and operational meetings.
- Build a positive, service-oriented, and collaborative work environment.
Reporting & Documentation
- Maintain maintenance logs, audit reports, inspection records, and statutory compliance documentation.
- Prepare monthly MIS reports, vendor performance reports, and operational dashboards.

Qualifications
- Bachelor's Degree in Engineering (Mechanical, Electrical, Civil) or Facility Management.
- Professional certifications in Facility Management or Safety will be an added advantage.
Experience
- Minimum 10+ years of experience in Facility Management, Engineering Operations, Corporate Administration, or Workplace Management.
- Experience managing corporate offices, IT/ITES facilities, commercial buildings, or business parks is preferred.
