Role Overview
We are seeking a proactive, detail-oriented Administrative Support Officer to join our team. In this role, you will play a key part in enabling our recruitment and operational functions. You will manage data integrity across our systems, coordinate candidate workflows, track compliance, and ensure seamless day-to-day operations.
Key Responsibilities
Recruitment Operations & Candidate Coordination
- Maintain and update candidate records, resumes, and interaction logs in the ATS and internal databases.
- Post job vacancies across various job boards and recruitment portals.
- Coordinate and schedule interview panels between clients, recruiters, and candidates.
- Prepare, review, and organize recruitment documentation and candidate submissions.
Compliance & Onboarding Support
- Track candidate contracts, background checks, onboarding documentation, and compliance requirements.
- Maintain accurate employee, contractor, and candidate records in compliance with company standards.
Administrative & Operational Support
- Generate regular recruitment reports, tracking spreadsheets, and performance dashboards.
- Manage inbox correspondence, calendar scheduling, and general office administrative tasks.
- Collaborate with internal teams to streamline workflow efficiencies and operational processes.
- Assist with ad-hoc administrative and operational projects as assigned.
Key Requirements
Qualifications & Experience
- Bachelor’s degree in Business Administration, Commerce, Human Resources, or a related field.
- 1–3 years of experience in an administrative support, recruitment coordination, or HR operations role.
- Prior experience working within or supporting a recruitment agency or HR department is highly desirable.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Hands-on experience with Applicant Tracking Systems (ATS) or CRM databases.
- Strong reporting skills, including the ability to build and maintain spreadsheets and data dashboards.
