Office Administrator
We are seeking an Experienced Office Administrator to join our client’s team based in Co. Wicklow. The successful candidate will provide day-to-day administrative and operational support to service and project teams working across the pharmaceutical, commercial and financial sectors. This role would suit a highly organised, proactive individual who enjoys working in a fast-paced environment, is confident managing multiple priorities and is willing to take on new challenges.
Key Responsibilities
- Provide day-to-day administrative and operational support to Directors, Senior Managers and the Project Controller.
- Assist with the planning and scheduling of works in conjunction with Project Managers, the Project Controller and Service Manager.
- Coordinate and ensure site inductions are completed in a timely manner for employees and subcontractors where required.
- Ensure all project documentation is completed by the relevant personnel, collated and submitted to clients as required.
- Monitor and ensure all service documentation is completed daily by engineers and submitted to clients in a timely manner.
- Maintain accurate and up-to-date records of services completed at each customer site.
- Assist with the preparation and management of commissioning documentation.
- Assist with the preparation and collation of O&M (Operation & Maintenance) manuals.
- Liaise with third-party vendors and subcontractors to schedule works on site and follow up on required documentation, including training certificates and commissioning documentation.
- Assist in developing and maintaining positive relationships with clients.
- Provide general administrative support across service and project teams.
- Carry out any other duties that may reasonably be assigned by management.
Key Skills Needed
- Previous experience in an office administration or coordination role.
- Excellent organisational and time-management skills.
- Strong attention to detail with the ability to maintain accurate records and documentation.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Proactive approach with the initiative to identify and resolve issues.
- Ability to work independently while also contributing effectively to a wider team.
- Strong IT and Microsoft Office skills.
- Professional and confident approach when dealing with clients, subcontractors and internal teams.
- Willingness to learn, take on new challenges and adapt to changing priorities.
- Experience within a project, engineering, construction or service environment would be an advantage.

- This is a permanent, full-time position, working Monday to Friday, 8:30am to 5:00pm.
