Job summary

NSpace in Dublin is looking for an organized and proactive Office Administrator to provide administrative support in the day-to-day operations of the office. You'll coordinate communications between the office and Site Supervisors, managing tasks to ensure efficient business operations.

The ideal candidate will have excellent organizational and communication skills, a proactive attitude, and a minimum of 5 years in office administration. Benefits include salary negotiable based on experience, pension, and holidays in line with CIF Ireland.

Job description

Based in Dublin, N Space Ltd. is a well-established construction and interior design company renowned for its high standards, quality workmanship, and professional approach. We are seeking an organised and proactive Office Administrator to join our team.

In this role, you will support the management team by providing administrative assistance in the day-to‑day running of the office and coordinating information between the office and our Site Supervisors. You will play a key role in ensuring the smooth and efficient operation of the business.

You will be expected to have excellent communication skills, be a self‑motivated team player and have a flexible approach to your work.

The successful candidate will possess excellent communication and interpersonal skills, be highly motivated, and demonstrate a flexible, team‑focused approach to work. You will be comfortable managing multiple priorities, working under pressure, and maintaining a high level of accuracy and attention to detail.

Responsibilities
  • Manage the day‑to‑day operations and smooth running of the office
  • Administrative support to Directors
  • Coordinate and schedule virtual and in‑person meetings, travel arrangements, itineraries, and training courses.
  • Welcome and assist visitors, ensuring a professional and positive experience
  • Maintain a professional image of the company in all interactions with clients, visitors and suppliers
  • Prepare customer quotations, payment claims, and sales invoices
  • Liaise with Bookkeeping to ensure all financial records and documentation are complete and accurate
  • Participate in weekly bookkeeping meetings and assist with finance‑related administrative tasks
  • Track employee attendance, holidays, and absences, providing monthly payroll information to the Bookkeeper
  • Manage purchasing and supplier accounts, coordinating the procurement and delivery of office, site, and project materials
  • Track project costs, including labour and material expenditure, to support accurate project reporting
  • Coordinate skip hire and permit requirements across multiple project sites
  • Manage tool and equipment inventory, maintenance schedules, and procurement
  • Maintain project datasheets and operational documentation
  • Ensure Health & Safety documentation is maintained and monitored for employees and subcontractors
  • Prepare and update project schedules using Microsoft Project and assist with annual resource and workload planning
Qualifications
  • Excellent organisational skills with a strong focus on accuracy and attention to detail.
  • A strong aptitude for numbers, with excellent analytical skills and a keen eye for accuracy and detail.
  • Excellent communication and interpersonal skills, with proven ability to build and maintain effective relationships with staff, subcontractors and suppliers
  • Self‑motivated and organised, with the ability to work independently, use initiative, and contribute positively to improving processes and ways of working.
  • Flexible and adaptable, with the ability to work effectively under pressure and multitask
  • Fluent English, with excellent written and verbal communication skills.
  • Advanced proficiency across Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • MS Project knowledge a bonus
  • 5+ years office administration experience
