Apleona is recruiting an experienced Facilities Lead for our site in Carrigtwohill, Cork. The role focuses on overseeing all facilities management activities, ensuring compliance, and owning the CMMS and PPM planner.

You will lead subcontractors and supervise soft services, with accountability for staffing and training plans. You will coordinate client and internal meetings, drive metrics, and uphold health and safety practices, while maintaining asset records and stock levels to meet

Qualifications

  • Degree or proven experience in facilities management or a related technical field.
  • Minimum 5 years coordinating hard and soft facilities services and teams.
  • Strong CMMS experience and data-driven approach to maintenance.
  • Excellent communication with clients and stakeholders; health and safety aware.

Responsibilities

Job description

At Apleona, we are currently looking for an experienced and qualified Facilities Lead to join our team on our site based in Carrigtwohill, Cork

Working Pattern: Monday to Thursday (7am - 3:30pm), Friday (7am - 2:30pm)

Main duties and responsibilities
  • Oversee all on-site Facilities Management activities and services to ensure full compliance with our contractual obligations with the client.
  • Ensure full statutory and regulatory compliance across the site
  • Willing ownership of the PPM planner and manage and maintain the CMMS.
  • Oversee subcontractor performance and service delivery
  • Govern regular client and internal meetings, review operational metrics
  • Negotiate and agree SLAs (Service Level Agreements) with suppliers
  • Ensure adequate staffing coverage and training plans are in place and lead and support personnel development and technical training initiative
  • Oversee Soft Services Delivery (Cleaning and Security) by leading the respective supervisors.
  • Assist staff in executing duties as outlined on PPM and reactive Work Order requests.
  • Ensure the timely execution of all Work Orders and that service inspections are carried out in detail, documented and executed in a timely and efficient manner.
  • Co-ordinate all contractors that attend site and ensure all the relevant documentation is in place prior to the work
  • Know and ensure consistent compliance with companies Health, Safety & Quality policies and procedures.
  • Efficient management of all utilities, monitor and document consumption levels.
  • Efficient stock management and maintain sufficient levels of cleaning chemicals and consumables.
  • Ensures high standards of cleaning and waste management are always maintained in accordance with the company cleaning policy.
  • Ensure efficient management of the Asset register
  • Ensure any accidental and wilful damage is recorded and reported promptly and ensure all staff is wearing the correct uniform and PPE.
  • Manage Time and Attendance records, manage and sign off on Annual leave requests, manage sick leave, staff queries, and staff training.
Qualifications and experience
  • Degree in a relevant technical discipline (e.g., Engineering, Building Services, Facilities Management) or proven experience in relevant trade.
  • Proven experience in facilities operations, compliance, and contractor management
  • Strong working knowledge of CMMS systems and performance metrics
  • Excellent communication and stakeholder engagement skill
  • A minimum of 5 years’ experience coordinating Hard and Soft Facilities Services.
  • Experience in managing people.
  • Excellent interpersonal and communication skills
  • Understand safe working practices and health and safety legislation
