Apleona is recruiting a Facilities Coordinator to be based in Dublin 2, Ireland. The role involves hands-on coordination of hard and soft facilities services, supporting staff and ensuring compliant, timely delivery of maintenance tasks.

You will manage contractors, monitor health and safety compliance, and support the engineering and facilities teams with planning, reporting and asset management. Monday–Friday, 8am–5pm with a focus on reliability and quality.

Qualifications

  • 3+ years coordinating hard and soft facilities services.
  • Experience in managing people.
  • Excellent interpersonal and communication skills.
  • Understand safe working practices and health and safety legislation.
  • Ability to work independently.
  • Well-organised and able to prioritise own work.

Responsibilities

  • Be a hands-on coordinator assisting staff with PPM and reactive work orders.
  • Ensure timely execution of all work orders within permitted parameters.
  • Ensure service inspections are carried out in detail and documented.
  • Coordinate all contractors on site and ensure documentation is in place prior to work.
  • Comply with Health, Safety & Quality policies and procedures.
  • Coordinate energy usage monitoring and invoicing where applicable.
  • Manage asset register and report damaged FF&E.

    At Apleona, We are always on the lookout for talented and dynamic individuals to join our team. We are currently recruiting for a Facilities Coordinator to be based in Dublin 2.

    Working Pattern: Monday to Friday, 8am - 5pm

    Main duties and responsibilities
    • Be a hands-on Coordinator assisting staff in executing duties as outlined on PPM and reactive Work Order requests.
    • Ensures the timely execution of all Work Orders, within the permitted parameters.
    • Ensure Service Inspections are carried out in detail, documented and executed in a timely and efficient manner.
    • Co-ordinate all contractors that attend site and ensure all the relevant documentation is in place prior to the work commencing.
    • Knows and ensures consistent compliance with companies Health, Safety & Quality policies and procedures.
    • Co-ordinate the TPI and TPU usage within the site and ensure a timely submission to finance on completion, ensuring concise recording of TPI & TPU.
    • Efficient management of all utilities, monitor and document consumption levels.
    • Manging stock and maintaining sufficient levels of cleaning chemicals and consumables.
    • Maintaining high standards of cleaning in accordance with the company cleaning policy.
    • Efficient management of the Asset register. Ensuring all damaged FF&E is recorded and reported.
    • Record and report any accidental and wilful damage promptly.
    • Ensure all staff is wearing the correct uniform and PPE appropriate to the tasks.
    • Carry out planned preventative maintenance on all building fabric under our control as per the Plant CMMS / CAFM system
    • Assist the engineering team to carry out planned preventative maintenance on all equipment under our control
    • Manage Time and Attendance records, manage and sign off on Annual leave requests, manage sick leave, staff queries.
    • Manage staff training through Human Focus.
    • Manage and Coordinate Energy Champion monthly.
    • Deal responsibly with capital, develop Apleona strategically and operationally, full and open communication, transparent reporting
    Qualifications and experience
    • A minimum of 3 years’ experience coordinating Hard and Soft Facilities Services.
    • Experience in managing people.
    • Excellent interpersonal and communication skills
    • Understand safe working practices and health and safety legislation
    • Ability to work on his/her own
    • Well-organised and capable of prioritising own work
    • Flexible, honest and reliable
