Job summary

Sigmar Recruitment is seeking an Admin Assistant to join a close-knit engineering support team in Ireland. The role focuses on handling a wide range of administrative tasks essential to smooth business operations and delivering first-class client service.

You will be the first point of contact for incoming calls and enquiries, coordinating travel logistics and producing clear reports for projects and maintenance visits, while supporting the team with documentation and vehicle administration.

Responsibilities

  • Coordinate site access requests and manage essential documentation.
  • Produce clear, accurate reports for projects and maintenance visits.
  • Organise travel logistics including hotel bookings and transport for field engineers and subcontractors, and arrange equipment hire.
  • Oversee vehicle administration—insurance, compliance, and tax records.
  • Collaborate with admin and helpdesk teams and take on extra responsibilities as the company grows.

About Your New Job
  • As the Admin Assistant, you will be a key member of a close-knit engineering support team, handling a wide range of tasks essential to smooth business operations and first-class client service.
  • You will be the first point of contact for incoming calls and enquiries, delivering efficient, personable service and ensuring clients, engineers, and contractors get the support they need, when they need it.
  • You will coordinate site access requests, manage essential documentation, and support the team with producing clear, accurate reports for projects and maintenance visits.
  • You will organise all travel logistics, including hotel bookings and transport arrangements for field engineers and subcontractors, as well as arrange specialist equipment hire.
  • You will oversee vehicle administration—insurance, compliance, and tax records—helping to keep the fleet and operations running smoothly and efficiently.
  • You will work alongside both the admin and helpdesk teams, with plenty of scope to take on extra responsibilities as the company grows.
What Skills You Need
  • Prior experience in administration, office support, or customer service roles— admin experience in the engineering, construction, or technical environment is a distinct advantage.
  • Strong communicator, professional and friendly both over the phone and by email; able to act as a central point of contact for a busy team.
  • Highly organised, detail oriented, and adept at balancing multiple priorities in a fast-paced setting.
  • Skilled in Microsoft Office (especially Excel and Word); fast and accurate with data entry, comfortable working with systems and documentation.
