Job summary

Carron + Walsh in Dublin is seeking a Construction Administrative Assistant to support a significant construction programme. You will keep documentation, scheduling, and communications running smoothly from start to finish.

Join a team led by the Project Director, liaise with clients, consultants, and subcontractors, and help maintain document control and timely submissions while prioritising accuracy and efficiency.

Qualifications

  • Strong written and verbal communication skills are essential.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office and document management systems.

Responsibilities

  • Manage project documentation and lifecycle files in line with procedures.
  • Coordinate priorities and communications with the Project Director and team.
  • Schedule meetings, manage diaries, and support day-to-day project administration.
  • Take accurate meeting minutes and track actions to completion.
  • Maintain document control systems with filing, version control and distribution.
  • Coordinate reviews, approvals, and submissions to meet deadlines.
  • Manage registers and trackers for drawings, RFIs, submittals and O&M manuals.
  • Liaise with clients, consultants and subcontractors to ensure document compliance.

This is an exciting opportunity to work alongside an experienced Project Director and project team, ensuring documentation, communications, and project administration are managed efficiently from start to finish.

Job Description

As a Construction Administration Assistant, you’ll be at the heart of project operations, ensuring critical information is organised, compliant, and readily accessible. Your responsibilities will include:

  • Managing project documentation throughout the project lifecycle in line with company and client procedures.
  • Working closely with the Project Director to coordinate priorities, actions, and communications.
  • Scheduling meetings, coordinating diaries, and supporting day-to-day project administration.
  • Taking accurate meeting minutes and tracking actions to completion.
  • Maintaining document control systems, ensuring accurate filing, version control, and distribution.
  • Coordinating document reviews, approvals, and submissions to meet project deadlines.
  • Managing registers and trackers for drawings, RFIs, submittals, and O&M manuals.
  • Monitoring document status and following up on outstanding actions.
  • Supporting project teams with the retrieval and distribution of documentation.
  • Liaising with clients, consultants, and subcontractors to ensure document compliance.
  • Establishing and maintaining clear, reliable filing systems that support efficient project delivery.
