PT Pilar Inti Fittindo seeks a detail-oriented Purchasing Import Specialist to manage import procurement, coordinate with Mandarin-speaking suppliers, and ensure efficient customs clearance. Based in West Jakarta, this full-time role anchors our international supply chain and cost optimization efforts.

The ideal candidate has proven import procurement experience, strong knowledge of import procedures and incoterms, and excellent English communication.

Formación

• Fluency in Mandarin Chinese (written and spoken).

Responsabilidades

• Manage the complete import procurement cycle including sourcing, negotiations, and POs with international vendors.
• Communicate with Mandarin-speaking suppliers about specs, delivery schedules, pricing, and terms.
• Prepare and review import documents (bills of lading, commercial invoices, packing lists, certificates of origin).
• Coordinate with customs brokers and freight forwarders for smooth clearance and timely shipments.
• Monitor shipment status and provide updates to internal stakeholders.
• Verify supplier invoices against POs and delivery receipts for accuracy.
• Maintain records of import transactions and documentation.
• Identify cost-saving opportunities and negotiate better terms with suppliers.
• Ensure compliance with import regulations, tariffs and international trade requirements.
• Coordinate with warehouse/inventory teams for receipt and storage of imports.

About the role

We are seeking a skilled and detail-oriented Purchasing Import Specialist to join the Purchasing, Procurement & Inventory team at PT Pilar Inti Fittindo. This is a full-time position based in West Jakarta, Jakarta. In this role, you will be responsible for managing the import procurement process, coordinating with international suppliers, and ensuring efficient customs clearance and documentation. Your fluency in Mandarin will be essential for communicating with our suppliers and partners, making you a vital link between our organisation and our Asian supply chain. This position plays a strategic role in maintaining the flow of materials whilst optimising costs and ensuring compliance with international trade regulations.

Key responsibilities

• Manage the complete import procurement cycle, including sourcing, negotiating with suppliers, and placing purchase orders with international vendors
• Communicate directly with suppliers in Mandarin to discuss specifications, delivery schedules, pricing, and contractual terms
• Prepare and review import documentation, including bills of lading, commercial invoices, packing lists, and certificates of origin
• Coordinate with customs brokers and freight forwarders to ensure smooth customs clearance and timely shipment of goods
• Monitor shipment status and track goods throughout the import process, providing regular updates to internal stakeholders
• Verify supplier invoices against purchase orders and delivery receipts to ensure accuracy and proper billing
• Maintain accurate records of all import transactions, documentation, and correspondence
• Identify cost‑saving opportunities in the import process and work with suppliers to negotiate better terms
• Ensure compliance with import regulations, tariffs, and international trade requirements
• Liaise with warehouse and inventory teams to facilitate receipt and storage of imported materials

What we're looking for

• Fluency in Mandarin Chinese (both written and spoken) is essential for this role
• Proven experience in import procurement, purchasing, or supply chain management, preferably within the manufacturing or logistics sector
• Strong knowledge of import procedures, customs regulations, and international trade documentation
• Experience in negotiating with suppliers and managing supplier relationships
• Proficiency in using procurement systems and Microsoft Office applications
• Excellent organisational and time‑management skills with the ability to handle multiple shipments simultaneously
• Strong attention to detail, particularly when dealing with complex import documentation
• Ability to communicate effectively in English, both written and verbally
• Problem‑solving mindset with the ability to resolve supply chain issues efficiently
• Experience with freight forwarding, customs brokerage, or international logistics is highly desirable
• Knowledge of incoterms and international payment terms would be advantageous
