Job summary

PT Helvetica Kreasi Indonesia is seeking an Event Coordinator in Bali to assist the Event Manager with end-to-end event planning, including coordination with clients, vendors, and venues. The ideal candidate has 1–2 years in event management, strong organizational skills, and fluency in English and Bahasa Indonesia.

Qualifications

• Bachelor's degree in a related field is required.
• 1–2 years of experience in event management, hospitality, MICE, or related industry; strong internships or event experience welcome.
• Strong organizational and time-management skills with excellent attention to detail.
• Able to manage multiple tasks and work under tight deadlines.
• Fluent in English and Bahasa Indonesia, both written and spoken.
• Proficient in Microsoft Office, especially Excel and PowerPoint.

Responsibilities

• Assist the Event Manager in planning, coordinating, and executing events from preparation to post-event evaluation.
• Coordinate with clients, vendors, venues, suppliers, and internal teams.
• Prepare event timelines, rundown, checklists, presentations, and other event-related documents.
• Support venue inspections, site visits, and event rehearsals.
• Monitor event setup, operations, and dismantling to ensure everything runs smoothly.
• Assist in managing event budgets, quotations, purchase orders, and vendor coordination.
• Handle on-site event coordination and troubleshoot operational issues when required.
• Ensure all event details and client requirements are communicated clearly to the relevant teams.
• Prepare post-event reports and documentation.
