Job summary

Savaya Group in Bali is seeking a hands-on Purchasing Assistant Manager to support purchasing across hospitality operations from the Head Office. You will coordinate with internal teams and suppliers to source goods, manage orders, and ensure purchases meet business needs, quality standards, and budgets.

You will lead purchasing processes from requirements and quotations through orders, deliveries, and records, building strong supplier relationships in a fast-moving environment.

Qualifications

• Experience in purchasing or procurement, ideally within hospitality, food and beverage, retail, or related industries.
• Experience coordinating purchasing activities and supporting or supervising team members.
• Ability to request and compare quotations and negotiate commercial terms.
• Proficient with spreadsheets and purchasing or inventory systems.
• Understand purchase orders, supplier invoices, delivery documents, and budget tracking.

Responsibilities

• Coordinate purchasing requests from departments and confirm specifications, quantities, and delivery dates.
• Obtain and compare supplier quotations to assess price, quality, availability, and terms.
• Negotiate prices, payment terms, lead times, warranties, and delivery arrangements within approved limits.
• Prepare and review purchase orders and secure required approvals.
• Follow up on orders and coordinate deliveries with suppliers and receiving teams; resolve delivery issues.
• Maintain accurate supplier details, quotations, purchase orders, invoices, and other records.
• Monitor spend against budgets and approved purchasing requirements.
• Support supplier sourcing, evaluation, onboarding, and performance reviews.
• Review market pricing and identify alternatives or savings opportunities.
• Work with Finance to resolve invoice and purchase order discrepancies.
• Support inventory planning and monitor stock availability with relevant teams.
• Prepare purchasing reports and update stakeholders on order status and issues.
• Guide and support purchasing team members, prioritise workload, and maintain processes.
• Identify opportunities to improve purchasing controls and efficiency.
